The Role

The Traffic and Creative Operations Manager supports the Senior Manager, APAC Creative Operations by ensuring work moves efficiently through the in-house agency. The role provides operational execution across traffic management, workflow coordination, capacity planning, delivery tracking and day-to-day stakeholder communication.

Working within the Creative & Content Operations team, this role translates agreed priorities, governance and ways of working into clear workflows, schedules and delivery actions across Creative Services, Video Production and marketing stakeholders. It maintains visibility of work in progress, identifies bottlenecks and resourcing risks, and escalates issues with practical options for resolution.

The role supports the Senior Manager with operational reporting, budget tracking, external partner coordination, contract administration and implementation of agreed process and tooling improvements. It provides accurate operational inputs and follow-through without owning agency strategy, governance, senior stakeholder prioritisation, financial accountability or team leadership.

This role plays a critical part in enabling the agency to deliver high-quality creative and content at scale by creating clarity, maintaining operational discipline and reducing day-to-day delivery friction

The Team

The Creative & Content Operations team ensures the in-house agency delivers highly effective creative and content at scale. It supports the teams to deliver a high volume of work, in a timely manner, to meet the requirements of our APAC marketing strategies.

It enables the creative and video teams to focus on high-value creative work by removing friction, implementing tooling, providing clear prioritisation, aligning delivery with the business and creating visibility of work across markets.

The Traffic and Creative Operations Manager works in close partnership with the Senior Manager, APAC Creative Operations, supporting the execution of the team’s operational strategy, governance and planning frameworks. Strategic leadership, final prioritisation, financial accountability, senior stakeholder alignment and leadership of the Creative & Content Operations team remain with the Senior Manager.

Creative Traffic Operations

  • Coordinate the day-to-day movement of creative work from intake through delivery across Creative Services, Video Production and marketing, applying agreed priorities, workflow standards and realistic timelines.
  • Maintain a single, accurate view of work in progress, including scope, owners, dependencies, capacity, delivery risks and key stakeholder expectations.
  • Lead quarterly, monthly and ongoing capacity planning by preparing demand, workload and capacity views for review by the Senior Manager and relevant team leads.
  • Maintain intake quality with the creative traffic operations team ensuring briefs are complete, clear and appropriately scoped, and support requestors with project setup, timelines, approvals, handovers and workflow guidance.
  • Identify bottlenecks, resourcing risks and delivery changes early; escalate issues with practical options and coordinate agreed actions across concurrent projects, campaigns and multi-market rollouts.
  • Support the implementation of approved workflow, tooling, automation and process improvements, while providing delivery coordination and stakeholder follow-up that reduce day-to-day friction for creative teams.

Budget Tracking and Contract Administration

  • Maintain operational trackers for approved budgets, committed spend, actuals and forecasts across freelancers, suppliers and external agencies.
  • Prepare budget updates and flag variances, risks and emerging requirements to the Senior Manager and relevant Finance stakeholders; budget ownership and financial accountability remain with the Senior Manager.
  • Coordinate purchase orders, statements of work, renewals, milestones and other contract documentation in partnership with Procurement, Legal, Finance and relevant stakeholders.
  • Provide administrative and tracking support for contract management, without owning commercial negotiation, supplier selection or final contractual decisions.

Reporting and Operational Visibility

  • Maintain accurate workflow, workload, capacity, delivery and budget tracking information for operational reviews and decision-making.
  • Prepare regular reporting inputs, dashboards and summaries for the Senior Manager and relevant stakeholders, highlighting risks, trends, dependencies and actions.
  • Support established governance rhythms by coordinating agendas, updates, actions and follow-up from operational meetings.
  • Provide reliable data and practical observations to support the Senior Manager’s agency reporting, planning and performance discussions.

Success Measures

Success in this role will be measured by:

  • Efficient and consistent movement of work through the in-house agency, from intake through to delivery.
  • High visibility and accuracy of work in progress, priorities, timelines, dependencies, team capacity and delivery risks.
  • Effective coordination of workload, resource allocation and scheduling within agreed priorities and capacity plans.
  • Reduction in workflow bottlenecks, scheduling conflicts, rework and avoidable delivery delays.
  • High-quality briefing and smooth onboarding of work into the agency workflow.
  • Accurate and timely budget tracking, forecast inputs, spend visibility and contract administration support.
  • Reliable day-to-day coordination of approved freelancers, suppliers and external agencies.
  • Clear, timely and actionable reporting inputs that support the Senior Manager’s planning, governance and performance discussions.
  • Positive stakeholder feedback regarding communication, visibility, coordination and delivery support.
  • Effective operational coordination of major campaigns and large-scale, multi-market delivery activity.
  • 5+ years of experience in traffic management, workflow coordination, creative operations, production operations or resource management.
  • Strong understanding of creative, content and production workflows across design, copy, video, campaigns and multi-market delivery.
  • Demonstrated experience coordinating multiple concurrent projects, deadlines and priorities in a fast-paced environment.
  • Strong capability in workflow planning, scheduling, resource coordination and capacity tracking.
  • Experience tracking operational budgets, spend and forecasts, and coordinating contract or purchase order administration.
  • Experience coordinating freelancers, suppliers or external agencies within established commercial and operational frameworks.
  • Strong stakeholder management and communication skills, with the ability to create clarity across marketing, creative, production and external partner groups.
  • Experience preparing operational reporting, dashboards, status updates or performance insights.
  • Excellent organisational skills, attention to detail and the ability to maintain calm and clarity while navigating changing priorities.
  • Strong problem-solving skills with the ability to identify risks early, escalate appropriately and support practical solutions.
  • An interest in using technology and AI to improve how teams work with some experience using workflow, or reporting tools such as Monday.com, Excel or similar platforms is a plus.
