This role is instrumental in primarily supporting the Operations team while working across all departments as needed. Key responsibilities include assisting our internal Finance team by managing accounts payable, maintaining company agreements, and supporting ERP-related tasks. In a fast-paced start-up environment, this role needs effective communication skills, the ability to excel under pressure, the ability to follow a task from start to finish, and excellent cross-functional team collaboration.\nThis position may be filled at the Operations Analyst I or II level depending on experience, scope, and demonstrated competencies.\nRequirements\nScope and ownership of responsibilities will vary by level:\nMaintain accurate and organized records of executed supplier agreements and Company contracts, ensuring proper documentation, accessibility, and compliance with applicable requirements.\nServe as a key liaison between internal departments and external suppliers, ensuring timely communication, issue resolution, and continuity of business operations.\nManage the full cycle of accounts payable, from invoice receipt to payment coordination, and discrepancy resolution as needed.\nSupport the implementation and ongoing compliance of operational processes and procedures in accordance with ISO 13485, FDA QSR standards, and Company policies.\nDraft purchase requisitions against released documentation, ensuring alignment with company policies and quality requirements.\nPrepare and process purchase orders, verifying specifications and prices, and obtaining necessary approvals from requisitioning departments.\nConfirm thorough receipt verification, comparing received items to orders and resolving any discrepancies with suppliers.\nLead assigned Operations projects, driving process improvements and operational efficiency.\nIdentify opportunities to streamline purchasing, accounts payable, supplier coordination, and other operational processes to improve efficiency, accuracy, and scalability.\nCoordinate outbound shipments to vendors with the -internal teams and external vendors, ensuring timely delivery, accurate documentation, and compliance with transportation regulations for medical devices.\nManage vendor relationships, including outreach for quotes and sample requests, maintaining a robust supplier network.\nCoordinate purchase requisitions and purchase orders, verifying specifications, pricing, approvals, and alignment with purchasing policies and operational needs.\nCollaborate cross-functionally to support various departments, ensuring smooth operations throughout the product lifecycle.\nMaintain current knowledge of industry practices, regulatory requirements, and operational best practices through ongoing professional development.\nPerform other duties and Framework.\nOperations Analyst I: Performs daily operational tasks, follows established procedures, and supports departmental initiatives with moderate guidance.\nOperations Analyst II: Works independently on operational activities, resolves moderately complex issues, and participates in initiatives to improve processes and efficiency.\nMinimum Qualifications\nBachelor’s degree in business administration, Operations Management, or equivalent combination of education and relevant work experience.\n1-4+ years of relevant experience, depending on level.\nExperience in operations or accounts payable, preferably in a medical device or highly regulated industry.\nDemonstrated knowledge of FDA regulations and ISO 13485 standards for medical devices.\nExperience with ERP systems, preferably those used in medical device manufacturing.\nSkills & Abilities\nStrong analytical, organizational, and problem-solving skills, with the ability to manage multiple priorities independently and collaboratively.\nStrong attention to detail with a commitment to accuracy, quality, and consistency.\nExcellent written and verbal communication skills, with the ability to collaborate effectively across departments and with external partners.\nAbility to identify process improvement opportunities and contribute to operational efficiency and scalability.\nAdvanced proficiency in Microsoft 365 applications, including Excel, Word, Outlook, and Zoom.\nAbility to learn and adapt to changing business needs, learn new systems and processes, and thrive in a growing commercial organization.\nDemonstrated Commitment to professionalism, integrity, confidentiality, and ethical business practices.\nBasic understanding of medical terminology and the ability to interpret technical specifications related to medical devices.\nPhysical Requirements\nProlonged periods of sitting at a desk and working on a computer.\nMust be able to lift up to 15 pounds at times.\nWork
