Job Description
The Executive Assistant is responsible for the direct administrative support of the Director of Patient Care Services and the Clinical Departments. The individual will maintain calendars, make travel arrangements, coordinate schedules, attend meetings and compose minutes and other correspondence as directed and maintain confidentiality with sensitive business communications. They will also assist with special projects, answer questions, and direct employees, visitor and patient families and other constituents to appropriate resources.
Key Responsibilities:
- Answers incoming phone call courteously, dispatching calls as appropriate & taking accurate message information.
- Initiates & maintains filing systems allowing for easy document retrieval.
- Meeting minutes are accurately transcribed & distributed w/in ten working days of each meeting.
- Makes airline, hotel & rental care arrangements as needed.
- Coordinates in-house meetings as requested.
- Maintains a calendar of available meeting space and answers requests for use of such, in-house and out of house.
- Facilitates meeting set-up and catering as necessary.
Required Qualifications:
- 7 years of executive-level administrative experience and/or senior executive support position
- Excellent communication and follow-through skills
- Exceptional organizational and office skills, familiarity with statistical analysis and ability to manage multiple schedules and deadlines.
- Strong computer skills and experiences producing high quality work; including word processing, spreadsheets, calendar/appointment programs and database applications (MS Word, PowerPoint, Excel, Teams, and the use of AI).
