We are looking for an IT Procurement Specialist to join our team.
Your main tasks will be:
Procurement & Vendor Management
- End-to-End Sourcing: Manage the full procurement lifecycle, from identifying business needs and sourcing vendors to contract signature.
- Contract Negotiation: Lead commercial negotiations to secure favorable terms, discounts, and Service Level Agreements (SLAs), specifically targeting SaaS and infrastructure providers (e.g., OpenAI, AWS, GCP).
- Vendor Relationship Management (VRM): Serve as the primary point of contact for key suppliers, ensuring timely delivery and resolving disputes or performance issues.
Accounts Payable (AP) & Compliance
- Invoice Processing: Oversee the validation and processing of vendor invoices, ensuring 3-way matching (PO, Receipt, Invoice).
- Payment Scheduling: Manage payment runs in accordance with payment maintaining strong vendor relationships.
- Record Keeping & Audit: Maintain organized digital archives of all financial agreements and documentation.
- Dispute Resolution: Proactively manage discrepancies between billed amounts and contracted rates.
Finance & FinOps (Cloud & SaaS Optimization)
- Budgeting & Variance Analysis: Prepare monthly "Plan vs. Actual" reports. Analyze discrepancies and provide actionable insights to department heads.
- Cloud Cost Management (FinOps): Monitor and report on cloud infrastructure spend (e.g.,GCP, AWS). Identify underutilized resources and suggest rightsizing or commitment-based discounts (RIs/Savings Plans).
- Spend Visibility: Maintain reports of recurring SaaS subscriptions to prevent "shadow IT" and eliminate redundant software costs.
- Forecasting: Assist the Finance Team in cash flow forecasting by providing accurate projections of upcoming procurement liabilities.
IT Asset Management & Infrastructure (ITAM)
- Hardware Procurement & Lifecycle: Manage the full lifecycle of company assets (laptops, monitors, peripherals), from initial request and vendor sourcing to decommissioning and recycling.
- Inventory Management: Maintain a precise and up-to-date global asset register, ensuring every piece of hardware is assigned to a specific user and tracked in the system.
- Budgetary Control for Hardware: Forecast annual hardware refresh cycles and maintain an emergency buffer stock while staying within the budget.
We expect from you:
- Strategic Sourcing & Procurement: Experience in the full procurement cycle, contract negotiation (SLAs, pricing), and vendor management (specifically for IT/SaaS).
- Financial Analysis & Budgeting: Proficiency in "Plan vs. Actual" analysis, OPEX/CAPEX management, and finance forecasting.
- FinOps Knowledge: Understanding of cloud cost structures (AWS/GCP), Reserved Instances, Savings Plans, and cost allocation/tagging.
- Accounts Payable (AP): Knowledge of invoice processing workflows, 3-way matching, and basic accounting principles.
- IT Asset Management (ITAM): Experience tracking hardware lifecycles, inventory management systems.
- Tools: Advanced Excel/Google Sheets (Pivot, VLOOKUP/Query), proficiency in Jira/Confluence, and experience with ERP.
- Fluent Russian and English level B2 or higher.
