Position Overview
The Contracts Coordinator is a new role at SpryPoint, created to support the Senior Contracts Manager in the day-to-day administration, coordination, and production work of SpryPoint’s contracts function. SpryPoint is a SaaS company serving municipal utility clients across North America, and the Contracts team operates as a single-person legal and contracts department managing a broad remit spanning client agreements, vendor contracts, procurement responses, employment matters, and corporate policy. This role is designed to absorb document production, administrative, and process coordination tasks, allowing the Senior Contracts Manager to focus on substantive legal analysis, negotiation strategy, and organizational advisory work.
The ideal candidate is organized, detail-oriented, and comfortable working independently in a fast-paced environment. They do not need to be a lawyer, but they need to be precise, reliable, and genuinely interested in contract administration and legal operations.
Location: This is a fully remote role with no regular in-office expectation. We'd love candidates based in or near Atlanta, GA, since there may be rare occasions requiring an in-person signature or document handoff at our Atlanta office, but this is a preference, not a requirement.
Responsibilities
- Maintain and organize SpryPoint’s signed client contract records in Google Drive, including filing executed agreements, amendments, and order forms in the correct client folders with consistent naming conventions.
- Track contract status across active negotiations, amendments, and renewals; flag upcoming deadlines and renewal windows to the Director.
- Manage the DocuSign execution queue: prepare envelopes, confirm signer details, route for signature, and confirm executed documents are filed correctly upon completion.
- Maintain the reseller and cooperative purchasing agreement register, including Veolia, IronBrick/OMNIA, NCPA, and similar arrangements.
- Audit and reconcile contract records against the client portfolio on a periodic basis, identifying gaps and inconsistencies for Director review.
- Populate contract templates (MSAs, amendments, order forms, NDAs) with client-specific information under direction from the Director.
- Assemble and format exhibits, schedules, and order form tables, including accurate pricing population from billing records or quotes.
- Produce clean Word documents with proper formatting, tracked changes where required, and consistent styling that matches SpryPoint’s document standards.
- Prepare first-draft correspondence for Director review, including transmittal letters, execution instructions, and routine client or vendor communications.
- Convert, clean, and reformat documents received from counterparties (PDFs, legacy formats, poorly formatted redlines) into working documents.
- Triage inbound contract requests from the sales team (AEs), gather required context, and route to the Director with a clear summary of the request and relevant background.
- Track open items across active negotiations and follow up with internal stakeholders (AEs, Finance, Advisory Services) to gather inputs the Director needs to respond to redlines.
- Coordinate with external counterparties on administrative execution matters (signature logistics, document delivery, version control) under Director supervision.
- Maintain version control discipline across all contract negotiations - clear file naming, version logs, and document history.
- Conduct background research on counterparties, industry norms, and procurement requirements as directed (company profiles, public filings, cooperative purchasing program terms, state procurement regulations).
- Maintain internal reference materials, including the AE Contracting Guide, MSA quick reference documents, and policy summaries.
- Support RFP response coordination: track inbound RFPs, organize document packages, and assist with exhibit preparation under Director direction.

Qualifications & Competencies
- 3+ years of experience in a contracts administration, legal operations, paralegal, or closely related role.
- Demonstrated proficiency with Microsoft Word, including document formatting, tracked changes, and template management.
- Strong organizational skills and attention to detail - this role touches legally binding documents, and execution errors have real consequences.
- Clear, professional written communication skills.
- Comfortable working independently and managing multiple concurrent tasks without close supervision.
- Experience with Google Drive or similar cloud document management platforms.
- Experience in a SaaS, technology, or professional services environment.
- Familiarity with contract lifecycle management concepts (negotiation workflows, execution mechanics, amendment processes).
- Experience with DocuSign or similar e-signature platforms.
- Exposure to government or municipal procurement (RFPs, cooperative purchasing, public contract requirements).
- Experience with Slack, Confluence, Jira, or similar collaboration tools.
