Clients work directly with a team of experienced professionals who take the time to understand how their business or personal finances operate and provide practical support that adapts as needs change.\nJob Opportunity and Responsibilities:\nStable Rock is seeking a highly organized, detail-oriented, and proactive Tax Administrator to support the day-to-day operations of our Tax & Strategy Services department. This individual will play an important role in coordinating tax engagements, managing client documentation, maintaining filing calendars, and ensuring the efficient execution of tax-related administrative workflows.\nWorking closely with tax professionals and senior leadership, the Tax Administrator will serve as a key point of coordination between internal teams and clients, helping to facilitate a seamless experience throughout the tax preparation and filing process. The ideal candidate is process-oriented, comfortable managing multiple priorities, and takes pride in maintaining accuracy, organization, and exceptional client service.\nKey Responsibilities:\nCoordinate the administrative lifecycle of individual and business tax engagements, including organizing client information, tracking deliverables, and monitoring filing deadlines.\n\nManage incoming tax documentation and client records, ensuring information is accurately collected, organized, stored, and readily accessible.\n\nAssist with client communications, including document requests, engagement reminders, follow-ups, and general administrative inquiries.\n\nMonitor tax filing calendars and maintain tracking systems to ensure timely completion of returns, extensions, and other tax-related deliverables.\n\nSupport the preparation and distribution of tax organizers, engagement letters, questionnaires, and other client-facing materials.\n\nCoordinate the electronic filing process, including tracking submission statuses, acknowledgments, and outstanding items.\n\nAssist with administrative aspects of tax notices and correspondence, ensuring appropriate routing and follow-up with the tax team.\n\nMaintain accurate client information, engagement records, and departmental databases.\n\nSupport workflow management and resource coordination across the tax team, helping identify outstanding items and potential bottlenecks.\n\nIdentify opportunities to improve administrative processes, documentation practices, and overall departmental efficiency.\n\nQualifications, Skills, and Experience:\n3+ years of experience in an administrative, operations, or coordination role, preferably within a public accounting firm, tax practice, or professional services environment.\n\nFamiliarity with individual and/or business tax preparation processes and related administrative workflows.\n\nExperience managing confidential financial and client information with a high degree of discretion.\n\nStrong organizational skills and exceptional attention to detail, with the ability to manage multiple deadlines and competing priorities.\n\nExcellent written and verbal communication skills, particularly when interacting with clients and internal stakeholders.\n\nProficiency in Microsoft Office, particularly Excel, Outlook, and Word.\n\nExperience with tax preparation software, document management platforms, or workflow systems is a plus.\n\nAbility to work independently while collaborating effectively with a team.\n\nA proactive, service-oriented mindset with a willingness to take ownership of responsibilities and identify opportunities for improvement.\n\nWhat Success Looks Like:\nTax engagements are organized, documented, and tracked effectively, with key deadlines and deliverables consistently managed.\n\nClient documentation is collected and maintained accurately, minimizing administrative delays and allowing tax professionals to focus on technical work.\n\nClients receive timely, professional communication and a consistently positive service experience.\n\nInternal workflows operate efficiently, with clear visibility into outstanding items, deadlines, and engagement progress.\n\nAdministrative processes are continuously evaluated and improved to support the department's evolving needs.\n\nWhy Stable Rock\nStable Rock offers an opportunity to become part of a collaborative, entrepreneurial, and growing professional services organization where individual contributions have a meaningful impact.
