Working closely with the Facilities Manager, you'll help ensure our building, services and facilities consistently meet the needs of colleagues, visitors and third-party stakeholders.\nLeading a small facilities team, you'll oversee a wide range of operational activities including reception and visitor management, meeting room coordination, postal services, building maintenance, contractor management and health and safety compliance. You'll also play a key role in identifying efficiencies, controlling costs and maintaining high standards across all areas of the facilities function.\nThis is a fantastic opportunity for an organised and customer-focused professional who enjoys leading people, solving problems and making a visible impact within a busy corporate environment.\nWhat you'll do:\nSupervise, support and motivate members of the Facilities team, ensuring all daily operational activities are completed efficiently. \nEnsure all visitors are welcomed professionally and directed appropriately throughout the building. \nManage incoming telephone enquiries, ensuring calls are handled promptly and professionally. \nCoordinate meeting room bookings, room set-up requirements and catering arrangements, including dietary requirements where required. \nEnsure meeting room technology is fully operational, liaising with technical teams to resolve any issues. \nManage incoming and outgoing postal services and courier requirements, liaising with suppliers including Royal Mail and Pitney Bowes. \nRaise purchase orders and manage the ordering of stationery, kitchen supplies and other facilities consumables. \nSupport the maintenance of building services, furniture and equipment, working with suppliers and contractors to resolve issues and complete repairs. \nCarry out Fire Risk Assessment and Legionella compliance activities, ensuring all required checks and actions are completed and maintained. \nAdminister building access passes, maintain car parking records and support general building security processes. \nLiaise with cleaning contractors and facilities suppliers to ensure high standards are maintained across the building. \nMonitor departmental expenditure, identify opportunities for efficiencies and support effective budget management. \nHold regular team meetings, support workforce planning activities and provide updates on team performance and development. \nEnsure staff bus passes are issued and administered for new starters, replacements and renewals.\nWhat we need from you:\nExperience working within a busy facilities, administrative or operational environment. \nPrevious experience supervising, coordinating or directing the work of others. \nStrong customer service skills with the ability to build positive relationships with a wide range of stakeholders. \nExcellent organisational skills with the ability to prioritise workloads, multitask and meet deadlines. \nStrong written and verbal communication skills. \nGood IT skills, including Microsoft Office applications such as Word, Excel and Outlook. \nExcellent attention to detail and accuracy. \nA proactive and practical approach to problem-solving. \nThe ability to remain calm under pressure and adapt to changing priorities. \nExperience working within budgets and identifying opportunities for cost efficiencies.\nIt would be great if you also have:\nExperience working within a facilities management environment. \nKnowledge of health and safety requirements within a workplace environment. \nExperience managing contractors and external service providers. \nKnowledge of Royal Mail and general postal procedures. \nExperience working within a customer-facing role. \nA passion for continuously improving services, processes and the workplace environment.\nClick apply now to start your Stagecoach journey today.
