POSITION TYPE: Permanent, 12-month, EHRA Exempt Professional Staff (EPS), FLSA Exempt, 1.0 FTE

NCSSM and the Registrar’s Office foster an environment of collaboration across departments and divisions and support community-engaged service and research.

Description of Duties

Work Hours, Monday-Friday 8-5, some Saturdays for events, some remote work in the summer.

The Office of the Registrar is a part of the Enrollment Services department within the Academic Programs Division for NCSSM-Durham, NCSSM-Online, and NCSSM-Morganton. The unit also supports NCSSM Connect, in the Extended Learning division. The unit consists of the Registrar, two Associate Registrars, and the Attendance Officer. This position reports to the Registrar.

The Registrar’s Office:

*Fosters student success for all NCSSM students through academic policies and regulations.

*Monitors the successful completion of program requirements for all NCSSM students.

*Facilitates the functioning of the academic environment through enrollments, support, advising, attendance and student data collection.

*Adheres to the highest professional and legal standards in the management of educational records including keeping current on State statutes and Federal regulations regarding educational records.

Position Duties include:

*Scheduling and Records Management: Coordinate course scheduling across the Durham, Morganton, and Online programs, managing course entry, enrollment processing, and drop/add requests. Perform senior audits to verify graduation requirements and process JIRA tickets for academic modifications.

*Student and Constituent Services: Provide exceptional advising and scheduling support to students, parents, and staff via phone and email. Ensure a welcoming and supportive environment for all office constituents.

*Special Study Options Coordination: Oversee the entire lifecycle of Special Study Options (Forums, Independent, and Individualized Studies), from routing proposals to deans to creating the course catalog. Manage student enrollments in Blackbaud and coordinate final grading with sponsors.

*Dual Enrollment Program Management: Administer the dual enrollment workflow by managing student contracts via DocHub, maintaining tracking sheets, and reporting academic progress and final grades to home high school counselors.

*Budget and Financial Administration: Maintain departmental budgets for both the Durham and Morganton campuses, including managing purchasing, business office paperwork, and travel forms.

*Diploma and Certificate Management: Coordinate the procurement and distribution of all diplomas and certificates for residential and online programs, including managing replacement requests with the vendor.

*Institutional Event Support: Represent the Registrar's Office at major campus events like Discovery Day, Welcome Day, and Commencement, as well as student webinars.

*Attendance Backup Support: Provide reliable backup support for daily attendance tracking, processing athletic absences, updating Blackbaud, and managing attendance-related JIRA tickets.

Knowledge Skills and Abilities/Management Preferences

HIRING SALARY RANGE: $62,115 - $63,787

Hiring salary will be determined based on education, experience, equity, budget, and market considerations.

Management Preferences

  • Master’s degree in a related field and experience in a secondary or post-secondary educational setting is strongly preferred.

  • Experience in a registrar’s office is preferred. A solid grounding in legal and ethical issues of working with confidential records, especially student educational records and knowledge of professional standards and practices related to secondary school curriculum

  • Significant knowledge of, and experience with, computerized records systems, and the ability to use, extract, and interpret data from computer and software systems.

  • Advanced organizational skills.

  • Superior written and verbal communication skills.
