As the Group sales coordinator you will be responsible for providing booking administration support to the accounts and Group Sales Representatives as assigned. This includes making and modifying bookings and other skilled tasks to ensure group customers and travel agents are serviced quickly and efficiently. Professional, helpful, and friendly communications with customers is required, both written and by phone to nurture customer relationships and drive customer retention and referrals. The position reports to the Group sales supervisor and will be located in Toronto, ON.\n\nWhat You’ll Do:\nProcess group booking requests. \nCheck quote against booking system and verify rates.\nBalance accounting on file\nWork with Payload, Inventory or Costings if specific inventory is required.\nConfirm booking number with Group Sales Representative (GSR). Handover to GSR for contract and initial invoice issuance.\nIdentify group leader on the booking and obtain contact information.\nFollow up on payments and outstanding balances with the customer. Escalate collection challenges to the GSR.\nProcess modifications requested by GSR or customer.\nProcess group block seating and seat selection requests\nProcess booking releases based on contracted policies.\nPrepare booking with final rooming list.\nIssue invoices for booking modifications to keep customer updated on bookings status and balances due.\nIssue E-Docs when necessary\nValidate and adjust insurance on file as necessary.\nCorrect duplicate seat selection.\nAdd complimentary Elite Plus seat assignment for wedding couples and group leaders.\nFollow up on pending names and dob’s.\nAdd FIT transfers details.\nOther as required.\nAttend trainings as assigned by management and Group Sales Trainer.\nMaintain product knowledge and participate in ongoing training as scheduled.\nView Product Webinars\nOrganize information provided for quick reference when required.\nStay current on procedural changes and updates.\nAssisting with answering call queue as needed\nMonitoring email inboxes pertaining to Coordinator file administration.\nGSR vacation coverage\nOwn and manage some spec groups end to end as assigned.\nOther tasks as assigned.\n\nWhat You’ll Need:\nAt least 1 year of administrative and customer service experience.\nProficient time management skills with the ability to multi-task and prioritize.\nStrong organizations skills and attentive to detail\nExperienced and comfortable with customer interactions\nEffective language and communication skills including proper phone and email etiquette.\nProblem solving skills.\nCan work independently and contribute to a supportive team environment.\nComputer skills (Microsoft Office) and experience with reservation systems an asset\nTico certification is required when the position is offered\n\n What We Offer:\nHybrid Work Opportunities\nGreat travel perks!\nGoodlifeCorporate Discount\nComprehensive benefits package\nRRSP Matching Program\nGrowth opportunities\nFree Parking\nOpen concept, collaborative workspace\nFresh Café with delicious snacks and meals at a subsidized price!\nOpportunity to give back through our social responsibility initiatives\nSee for yourself!
