The organization places a strong emphasis on safety, compliance, operational efficiency, and maintaining reliable equipment and vehicles for its field teams.\nPosition Summary\nWe are seeking a highly organized and detail-oriented Fleet Coordinator to support the day-to-day administration and compliance of the company’s fleet and equipment operations.\nThis position will be responsible for maintaining accurate fleet records, coordinating vehicle and equipment maintenance, monitoring inspections and compliance requirements, supporting DOT-related documentation, and assisting with fleet reporting and administrative functions.\nThe ideal candidate is detail-oriented, proactive, comfortable working with data and documentation, and able to manage multiple priorities while maintaining accuracy and confidentiality.\nKey Responsibilities\nMaintain accurate records for company vehicles and equipment, including registrations, insurance, inspections, maintenance, fuel, and ownership documentation\nCoordinate preventive maintenance and repair schedules for company vehicles and fleet equipment\nTrack oil changes, tire replacements, inspections, service intervals, and other required maintenance\nMonitor vehicle availability and coordinate repairs and service to minimize operational downtime\nMaintain records of vehicle and driver assignments, GPS systems, telematics, and fleet tracking platforms\nCoordinate appointments with repair facilities, dealerships, maintenance providers, and fleet vendors\nTrack vehicle incidents, accidents, damages, repairs, and corrective actions\nAssist with maintaining driver qualification files and DOT compliance documentation, as applicable\nSupport ELD and Hours of Service (HOS) recordkeeping for applicable drivers\nMonitor vehicle inspections and other regulatory requirements\nAssist with audits, inspections, and customer prequalification requests\nPrepare spreadsheets, reports, tracking documents, and compliance summaries for leadership\nMaintain accurate fleet databases and electronic documentation\nAssist with onboarding documentation and fleet-related requirements for new employees\nWork closely with EHS, Risk Management, field personnel, vendors, and leadership\nMaintain confidentiality of sensitive employee, driver, and company information\nPerform additional administrative duties and special projects as assigned\nRequired Qualifications\nHigh school diploma or GED required\nAssociate degree in Business Administration, Logistics, Fleet Management, or related field preferred\n2+ years of experience in fleet coordination, administrative support, compliance, transportation, construction, or a related field preferred\nExperience with vehicle or equipment records, maintenance scheduling, or compliance documentation preferred\nStrong data entry and document management skills\nProficiency with Microsoft Office, particularly Excel, Word, Outlook, and PowerPoint\nStrong organizational and time-management skills\nExcellent written and verbal communication skills\nAbility to manage multiple priorities and meet deadlines\nStrong attention to detail and accuracy\nAbility to maintain confidentiality and exercise sound judgment\nWorking knowledge of DOT, OSHA, fleet, or workplace safety requirements preferred\nExperience in construction, industrial, electrical, or field-service
