The company is moving quickly to launch the first aircraft designed specifically for swarming, as well as the Command & Control software to mobilize swarms of thousands of heterogeneous autonomous assets and empower human operators to achieve superhuman results.\nThe team has created and exited multiple startups, negotiated defense deals worth billions of dollars, and designed and built 30+ novel aircraft, with aerospace experience from Scaled Composites, Airbus, Archer Aviation, Blue Origin, and Boom Supersonic.\nAbout the role\nThe Aircraft team is moving fast enough that the work of keeping it organized has become a job of its own. We are hiring an Engineering Administrator to take that on, working directly with our Chief Engineer and our Director of Program Management.\nYou will own the connective tissue: calendars and meetings, records and documentation, purchase requisitions and incoming parts, recurring reports, and the dozens of small things that otherwise pull engineers away from engineering. When a long lead part is late, you are the person who knows. When a design review is scheduled, you are the reason the right people, agenda, and materials are in the room.\nYou do not need an engineering background. You do need to be the kind of person who builds order where there was none, and who sees the next thing coming before anyone asks.\nWhat you will do\nProgram and document support\nOrganize and maintain project files, engineering records, and documentation so the team can find what it needs without asking.\n\nTrack action items, approvals, and follow-ups from design reviews and team meetings through to closure.\n\nEnter and maintain information in our internal systems and shared databases.\n\nPrepare and format documents, spreadsheets, and presentations for the Chief Engineer and Director of Program Management.\n\nScheduling and coordination\nManage calendars and coordinate meetings for the Chief Engineer and the Vehicle engineering staff.\n\nRun meeting logistics end to end: agendas, participants, prep materials, notes, and follow-ups.\n\nArrange travel and logistics for engineering staff, including test site and supplier visits.\n\nCoordinate visitors, onsite activities, and team events.\n\nPurchasing and inventory\nSubmit purchase requisitions and purchase orders for engineering hardware, tooling, and test equipment.\n\nMonitor deliveries and outstanding orders, and flag long lead items before they become schedule problems.\n\nMaintain inventory records and coordinate receipt of materials and equipment.\n\nReporting and communication\nPull information from multiple sources into recurring status reports and program updates.\n\nTrack deadlines and action items across the team and communicate where things stand.\n\nServe as the administrative point of contact for the Vehicle engineering team, routing questions and requests to the right people.\n\nGather information from other departments as programs require.\n\nMaking us better\nSpot the administrative gaps and build simple, durable ways to close them.\n\nTake ownership of the miscellaneous projects that make the engineering team run better.\n\nWhat we are looking for\n3+ years in an administrative, coordinator, or program support role, ideally in a hardware, manufacturing, aerospace, or otherwise technical environment.\n\nA track record of managing competing priorities and deadlines without dropping details.\n\nStrong written and verbal communication skills, and the judgment to know which updates need to travel and to whom.\n\nComfort working independently. In a company at our stage, nobody will hand you a list every morning.\n\nProficiency with Google Workspace or Microsoft Office. Comfort learning new internal tools quickly.\n\nDiscretion with sensitive and confidential information.\n\nExperience with purchasing, procurement systems, or ERP tools is a plus.\n\nWhat the first 90 days look like\nYou know the Vehicle team, what each person is working on, and who to go to for what.\n\nThe Chief Engineer's calendar and the team's recurring meetings run without anyone thinking about them.\n\nOpen purchase orders and incoming deliveries are tracked in one place that everyone trusts.\n\nYou have found at least one thing that was quietly costing the team time, and fixed it.\n\nAdditional information\nThis role is on-site in Oxnard, CA\nITAR requirement\nTo conform to U.S. Government export regulations, applicant must be a U.S. citizen, lawful permanent resident of the U.S., protected individual as defined by 8 U.S.C. 1324b(a)(3), or eligible to obtain the required authorizations from the U.S. Department of State.\nSwarm Aero is an equal opportunity employer. We value diverse backgrounds and experiences and make employment decisions without regard to race, religion, national origin, gender, sexual orientation, age, veteran status, or disability.\nWhat We Offer\nMeaningful equity in a high-growth defense technology company\n\nCompetitive base salary commensurate with experience\n\nMedical, dental, vision, and 401k\n\nPTO and paid sick leave\n\nMonthly wellness stipend\n\nDaily catered lunch (office)\n\nPaid parental leave\n\nDirect impact on a critical national security mission\n\nA world-class team of engineers and operators solving genuinely hard problems","description_format":"text","description_chars":5347,"description_truncated":false,"requirements":{"experience_years_min":null,"management_years_min":null,"team_size_min":null,"manages_managers":false,"education":null,"security_clearance":false,"languages":[]},"benefits":["401k plan","Equity","Parental leave"],"hiring_locations":[{"name":"United States","iso":"US","kind":"country"}],"hiring_excludes":[],"relocation_offered":false,"industries":[],"lifecycle":[{"event":"open","at":"2026-10-01T10:51:08Z"}],"visa":[],"liveness":{"score":64,"band":"ok","label":"Likely open","p_open":1,"p_active":0.711,"p_room":0.9,"age_days":19,"expected_fill_days":35,"reasons":["conf:0","velocity","win:mid"],"computed_at":"2026-10-04T05:45:00Z"},"pay":{"stated_usd_annual":100000,"is_top_pay":false},"html_url":"https://alion.io/job/swarm-engineering-administrator-aircraft","json_url":"https://alion.io/job/swarm-engineering-administrator-aircraft.json","meta":{"generated_at":"2026-10-05T01:45:03Z","cache_seconds":300,"methodology":"https://alion.io/methodology","terms":"https://alion.io/terms","contact":"https://alion.io/contact","api":"https://alion.io/developers","usage":{"tier":"crawler","counted_by":"address","units_charged":1,"used_today":2329,"day_limit":5000,"remaining_today":2671,"minute_limit":60,"resets_at":"2026-10-06T00:00:00Z"}}}
