Swing Education wins many of our district and charter partnerships through competitive RFP, RFI, and bid processes - and the proposal is where the case gets made. As our RFP Writer, you own that case from the moment an opportunity lands to the moment it's submitted: you help decide what's worth chasing, build the plan, write the story, and get it out the door on time and airtight.

As our RFP writer, you'll sit at the center of sales, product, operations, legal, and finance, turning Swing’s products and services into a proposal that stands out above the rest. You monitor our channels, create the winning stories, and run the day-to-day bid process with a manager on hand for more complex, high-stakes submissions.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Find the opportunities worth winning. Monitor bid portals, procurement notices, and signals to catch relevant RFPs, RFIs, and bids as they release. Run go/no-go calls with leadership - weighing fit, competitive landscape, timeline, and win probability - so our effort goes where it counts. Log and triage everything coming in, especially through the spring rush when K-12 budget cycles put everything on the calendar at once.
• Run the process end to end. Build the timeline and compliance matrix for each response, working backward from the deadline. Draft, edit, and assemble narrative content, pricing exhibits, staffing plans, and required forms. Drive technical, pricing, and legal reviews through internal sign-off. Own final formatting, proofing, and submission.
• Pull in the right people at the right moment. Partner with account executives to understand each district's needs, pain points, and competitive picture. Get operational and technical detail from product, regional ops, and customer success so every claim reflects what Swing does today. Work with legal on terms, insurance certificates, and contract exceptions, and with finance on pricing structure and margin before anything goes out.
• Learn the product. Build deep, current command of our marketplace model, service offerings, pricing, geographic coverage, and compliance processes - enough to write persuasively and sell our services to district administrators. Keep the proposal content library (boilerplate, templates, past performance, bios, differentiators) current as the business evolves.
• Make the next bid better than the last. Track win/loss outcomes and debrief the losses honestly to sharpen messaging and close recurring gaps. Improve templates, style guides, and reusable content so turnaround gets faster and more efficient. Recommend process changes as bid volume grows.

REQUIREMENTS AND QUALIFICATIONS: 

• Extremely high attention to detail.
• 2-4 years of experience writing or coordinating proposals, RFP responses, or grant applications, ideally in a B2B services, staffing, ed-tech, or public-sector-facing environment
• Comfortable owning a proposal end-to-end under deadline pressure
• Solid project-management instincts - able to hold a timeline and keep cross-functional contributors on track
• Very strong writing, editing, and synthesis skills; able to translate technical/operational detail into clear, persuasive narrative
• Experience (or clear aptitude) coordinating input from sales, legal, finance, and operations stakeholders
• Comfort with public-sector or K-12 procurement processes a plus (RFP portals, compliance requirements, scoring rubrics)
• APMP certification (or interest in pursuing one) a plus, not required
• Bachelor's degree or equivalent practical experience
• AI Enthusiast 

What success looks like in the first 6 months

Independently owns intake-to-submission for standard RFPs, escalating appropriately on complex or unusually large bids. Has built working relationships with sales, product, and operations stakeholders as go-to sources. Has a functioning, current content library and compliance matrix template. Contributes at least one process improvement that measurably reduces turnaround time or improves win rate.

COMPENSATION:

$65,000—$80,000 USD
