We work across Space Traffic Management, Space Surveillance & Tracking, and Space Operations, combining advanced optical systems, software, automation, and data.\nOur technologies help governments, defense organizations, space operators, and other customers understand what is happening in orbit and make better, more informed decisions in an increasingly complex space environment.\nToday, we are a growing international team of astrophysicists, engineers, software developers, analysts, project managers, and other specialists working together across Europe and beyond.\nAbout The Role\nAs a Tender & Proposal Specialist (mid-level), you will be responsible for coordinating and preparing proposals and offers for public-sector and commercial opportunities, with a particular focus on ESA, EDF and other EU and institutional tenders.\nYou will manage the bid process from opportunity analysis through internal coordination, preparation, governance and submission. This means bringing together inputs from technical, financial, sales and administrative teams and making sure that complex information is turned into clear, complete and competitive proposal documentation.\nYou will work closely with Business Development Managers and internal stakeholders to shape opportunities and develop winning offering strategies. You will also contribute to the continuous improvement of Sybilla’s proposal processes, templates, reusable content and bid knowledge base.\nThe role requires strong ownership, attention to detail and the ability to keep multiple deadlines and stakeholders moving in the same direction - while maintaining a high standard of quality.\nWhat You Will Do\nManage the full bid lifecycle, ensuring proposals move smoothly through internal governance and approval processes. Write proposals for public tenders published by space agencies and public institutions, including opportunities under the European Defence Fund. \nPrepare technical offers for commercial and public customers in response to Requests for Information (RFIs) and Requests for Pricing (RFPs). \nPrepare and coordinate cross-functional contributors to proposal and offer documentation across technical, financial, sales and administrative teams. \nAnalyze and evaluate calls for proposals, RFIs and RFPs to assess requirements, opportunities and submission expectations. \nMaintain CRM data quality and consistency for opportunities approaching the tendering and offering phase. \nManage the full bid lifecycle, ensuring proposals move smoothly through internal governance and approval processes. \nMaintain and improve proposal templates, reusable content and bid knowledge management. \nWhat You BringMust-have\n3-5 years of experience writing offers and winning ESA, EDF or EU tenders and projects. \nStrong project and stakeholder management skills, with confidence working across cross-functional teams. \nA proactive, delivery-focused mindset and excellent attention to detail. \nExceptional written communication skills, with the ability to translate complex technical or operational inputs into clear and concise proposal content. \nThe ability to operate calmly under pressure while managing multiple priorities and deadlines. \nFluent English, both written and spoken. \nNice to HaveAdvanced professional certifications and a relevant education. \nExperience working in fast-paced environments. \nInterest in the space industry. \nPrevious experience working with complex technical proposals or within a highly specialized technology environment. \n What We OfferRemote-first work model (the company’s HQ is in Bydgoszcz, Poland), \nCompensation: Poland: 10,000-14,000 PLN gross/month (employment contract) or 74-106 PLN net/hour (B2B). \n EU / other locations: EUR 2,800-3,920 gross/month (employment contract) or EUR 21-30 net/h (B2B). \nThe final compensation package depends on professional experience, qualifications, seniority, employment model and applicable local market conditions. \n\nFlexible working hours, \nMedical and sports package (Poland only), \nGroup insurance (where applicable), \nProfessional development opportunities, including conferences, training and other learning opportunities, \nA dedicated mentor and structured onboarding, where applicable, \nA high level of ownership and autonomy in your area of responsibility, \nThe opportunity to work in a highly specialized space-tech environment alongside astrophysicists, engineers, analysts, software developers and other experts, \nThe opportunity to work on technologies and projects with real-world impact across the space, defense and deep-tech ecosystem. \nWhy Sybilla?At Sybilla, we don't just observe space.
