Operations Coordinator will be responsible for providing a comprehensive and flexible contract administration service to the customer, to maintaining concise records of all contract transactions and to liaise regularly with the client representative.\nTo assist with the control of all financial and commercial aspects of contracts\n\nTo assist in the production of supporting financial information\n\nTo maintain and update both manual and computer records relating to contract\n\nTo prepare and issue predefined reports, which form part of the contract and customer requirement\n\nLiaise closely with the site team and CFM, ensuring accurate processing of quotations and purchase orders, invoices, time sheets and PTO records\n\nTo undertake general office duties relating to the contract to include:\n\nCorrespondence and filing\n\nMinutes of meetings\n\nPreparation of reports and documentation\n\nUpdating of electronic records\n\nMaterial ordering and administration\n\nVendor administration\n\nRaising purchase orders and ensuring that purchase orders are updated when changes required.\n\nProduction of valuations and presentations of results.\n\nContract renewal documentation\n\nQuote logging and processing\n\nProcess of timesheets from engineers, chasing and checking quality of data\n\nContract set up (PPM/ System support)\n\nApplication of Billing preparation\n\nContract escalation process and updates\n\nTo manage the Accounts Payable process for the contract which includes:\n\nUpload, index and code A/P invoices and work with Managers to facilitate timely A/P workflow approvals within Yardi Payscan module\n\nSet up executed purchase orders in Yardi for accurate application and tracking of contract operating and capital expenditures\n\nInterface with vendors, customers, executives, facility management leadership, and internal finance team to address and resolve any inquiries or issues\n\nRespond to vendor inquiries and reconcile vendor statements\n\nMaintain accurate A/P records and files to ensure compliance with IRS rules\n\nTo undertake the training of staff as and when required\n\nTo enable full auditable trails with, for example but not limited to, invoices, timesheets, material orders and goods received note\n\nTo be responsible for the commercial support on the contract through to the final account\n\nOverall log book responsibility\n\nAll other work as assigned by T5 executive leadership\n\nEDUCATION AND EXPERIENCE\nBachelor’s degree or equivalent experience, required\n\n5+ years in a Contract Coordinator role or related experience, required\n\nReal Estate or Property/Facilities Management Accounting experience, required\n\nAccounts payable and job costing experience, required\n\nKNOWLEDGE, SKILLS, ABILITIES, AND COMPETENCIES\nExperience with the Yardi Voyager or similar accounting systems, required\n\nStrong proficiency in the use of spreadsheets and Windows, required\n\nHandle confidential information in a sensitive and professional manner, required\n\nExcellent verbal, written, and interpersonal communication skills, required\n\nAbility to manage multiple tasks under strict deadlines while working independently, required\n\nAbility to interact professionally with all levels of the organization, required\n\nExceptional organizational, quantitative and problem-solving skills, required\n\nExceptional attention to detail, required\n\nAbility to approach problems both logically and creatively, required\n\nA drive to exceed expectations
