Your primary objective is the timely, accurate posting of supplier invoices and credit notes, while owning dispute management and vendor account reconciliations. You’ll support onboarding and follow-up for new team members, assist the Team Leader with balance-sheet proposal reviews and month-end close activities, and help drive process improvements and automation initiatives. Working in a collaborative pod model, you’ll partner with peers, managers, and vendors to ensure payment accuracy, reduce exceptions, and strengthen vendor relationships.\nWhat You'll Do\nEnsure cashflow accuracy and vendor satisfaction by resolving disputes quickly and maintaining reconciled vendor accounts.\n\nSupport continuous improvement and ERP initiatives (SAP and other tools) that increase automation and reduce manual effort.\n\nDevelop into higher-impact positions (Senior AP, Billing Operations, or Finance Analyst) through cross-training, exposure to month-end close, and mentoring responsibilities.\n\nReview, validate, and post supplier invoices and credit notes in SAP and other systems in a timely, accurate manner.\n\nPerform invoice and general ledger data entry and support weekly payment runs (ACH/check).\n\nMonitor aging reports; identify, investigate, and resolve past-due items and discrepancies.\n\nExecute vendor account reconciliations and maintain accurate vendor master data (creation/updates).\n\nTrack, escalate, and resolve vendor disputes and billing queries; document case status and outcomes.\n\nSupport onboarding and training of new AP team members; confirm understanding and completion of core activities.\n\nAssist the Team Leader with balance sheet proposal reviews, MEC closing activities, and month-end close support.\n\nCommunicate professionally with internal stakeholders and external vendors; escalate issues appropriately and promptly.\n\nOccasionally support short, scheduled weekend hours for month-end or special close activities (few hours, as needed).\n\nWhat We're Looking For:\nMust-haves\n1-3 years of relevant Accounts Payable / accounting experience (invoice processing, reconciliations, vendor communication).\n\nProven proficiency with Excel (intermediate) and experience using SAP or similar ERP systems.\n\nStrong attention to detail, accuracy in data entry, and good organizational/time-management skills.\n\nClear written and verbal communication skills in English; ability to interact professionally with vendors and cross-functional teams.\n\nDemonstrated ability to follow instructions, escalate issues, and work effectively under deadlines.\n\nPreferred\nVocational/technical education in Finance, Accounting, or related field.\n\nExperience supporting month-end close and balance sheet reconciliations.\n\nCustomer-service mindset, problem-solving ability, and a willingness to take initiative and suggest process improvements.\n\nWorking Conditions\nHybrid schedule: in-office presence required for collaboration (typically three days/week). This role is based in Herndon, VA - local candidates preferred.\n\nMay require occasional evening or weekend work during peak periods (for example, month-end close).\n\nA/P Specialist 2 in Herndon, VA: base salary range is 52,000-55,000.
