This position works closely with project managers, technicians, subcontractors, and customers to ensure projects and service work are scheduled, documented, and completed efficiently.\nThe Service Coordinator is responsible for managing schedules, tracking project progress, coordinating resources, and maintaining clear communication between internal teams and customers. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced service environment.\nKey Responsibilities\nCoordinate service projects and support project managers with scheduling, documentation, and communication\nMonitor project progress and prepare status updates and reports for leadership\nAssist with dispatching, scheduling, and routing technicians, subcontractors, and other resources to support project timelines\nCoordinate communication between project managers, technicians, subcontractors, and customers throughout the project lifecycle\nMaintain and manage project documentation including project plans, schedules, and scope details\nSupport administrative tasks including billing coordination, invoice reconciliation, and expense tracking\nIssue purchase orders to vendors, suppliers, and subcontractors as needed\nCoordinate equipment deliveries, materials, and job readiness with customers and vendors\nFacilitate subcontractor coordination and payment processing as required\nCommunicate directly with customers to confirm scheduling, readiness, and project updates\nBuild and maintain professional relationships with equipment dealers, customers, and subcontractors\nUpdate service activity, estimates, and status updates within customer portals when required\nEnsure safety standards and company policies are followed by all team members involved in the project\nUtilize Company software and Microsoft Office tools to track and manage work orders\nCommunicate project changes or updates to appropriate team members and leadership\nMaintain organized project records and ensure documentation accuracy\nPerform other duties as assigned to support service and project operations\nQualifications\n2-3 years of experience in service coordination, project coordination, dispatching, or administrative support required\nExperience in HVAC, refrigeration, construction, or foodservice service industries is a plus\nStrong organizational skills with exceptional attention to detail\nAbility to manage multiple tasks and priorities in a fast-paced environment\nStrong verbal and written communication skills\nStrong problem-solving skills and ability to work under pressure\nProficient with Microsoft Office and general computer systems\nAbility to work both independently and collaboratively with a team\nDependable, professional, and customer-focused\nSelf-motivated with the ability to follow through on responsibilities with minimal supervision\nCompensation Transparency\nThe advertised pay range for this position is $24-$30.
