The role involves maintaining general office functions, supporting student workers, and coordinating safety and technology trainings to ensure a productive and secure work environment. As a key liaison for the Advancement Board and Former Students, this position facilitates professional communication, organizes virtual meetings, and supports departmental events such as “Lunch and Learns,” board activities, and appreciation banquets. With a strong focus on organization and creativity, the position contributes to marketing and communications efforts by managing social media, designing newsletters and digital materials, and crafting engaging internal announcements. This multifaceted role is ideal for a proactive, detail-oriented individual who enjoys teamwork, event coordination, and bringing innovative ideas to departmental operations.\nResponsibilities:\n10% - General Office Maintenance\nAssist with overseeing student worker(s)\nArrange/host safety and technology trainings\n15% - Advancement Board Assistant Director & Former Students Correspondence\nCommunication\nHost Virtual committee meetings\nRecord minutes for all meeting\nCoordinate Industry “Lunch and Learns” while on campus\nCommunicate with President and Vice President\nSave the Date/Invitation\nCatering & Room Reservations\nHotel room block\nSpouse/Board Activities\nWrite thank you notes for department donors\nDesign a quarterly newsletter for distribution\n40% - Event Planning\nAssist senior staff in event planning for seminars, faculty meetings, DH meetings, etc.\nSchedule hotels/conference space for meetings/events\nDepartmental event planning\nAssist senior staff in facilitating a department awards banquet\nRetirement event planning\nSupport search committee chairpersons\n35% - Marketing/Communications\nServe as the administrative liaison between the department and AgriLife Marketing and Communications and Digital Education\nMaintain the internal update departmental announcement scroll\nOversee the departmental social media and webpage.
