The coordinator creates, coordinates, and disseminates information related to the assigned courses; updates and posts materials in the learning management system; updates the courses’ calendar and schedule, reserves rooms and/or creates Zoom sessions; and serves as a liaison between the course co-directors, faculty, students, and staff within Pre-Clerkship and across the College of Medicine.\nWhat you need to know\nSchedule: This position may require work beyond normal office hours and/or work on weekends.\nTravel: Occasional travel required.\nResponsibilities:\nPre-Clerkship Coordination\nCoordinate all course information and scheduling for the assigned courses. This includes:\nArranging room reservations/scheduling Zoom sessions\nCoordinating proctors and rooms/Zoom sessions for examinations\nMaintaining the learning management system\nPreparing for- and leading the course initiation meetings\nServing as primary administrative liaison with faculty regarding course scheduling\nCoordinate with the Office of Academic Technology, Marketing, and Communication for support related to course sessions, exams, and trainings\nCurriculum Management\nCollaborate with coordinators and course leadership to coordinate and disseminate course materials required of curricular blocks, threads, clerkships and electives within COM’s undergraduate medical education program (UME)\nAdminister curriculum in an e-learning environment utilizing a learning management system application as well as additional required software applications\nManage the learning management system for the assigned courses\nEnsure grades are entered into LMS system accurately and disseminated to proper stakeholders\nCommunication and Team Cooperation\nAttend meetings related to Pre-Clerkship\nSite specific coordinator meeting (required)\nAll sites coordinator meeting (required)\nPre-Clerkship Subcommittee meeting (as needed)\nCurriculum Committee meeting (as needed)\nInitiate investigation of student and Pre-Clerkship faculty concerns, identify problems, recommend solutions to Pre-Clerkship Program Manager and/or Pre-Clerkship Assistant Dean\nWork collaboratively and cooperatively with other Pre-Clerkship coordinators, faculty, and staff\nConverse with students to address course questions and/or concerns\nDisseminate mass communications regarding courses\nAccreditation\nMaintain and coordinate data required to comply with institutional program and accreditation requirements in a timely manner\nAssist the Office of Evaluation and Assessment in the mapping of curriculum content for assigned courses\nAssist the Office of Evaluation and Assessment in the tracking of faculty contact hours and compiling into the specified format\nPolicies & Procedures\nPerform all tasks and job responsibilities safely without injury to self and others in compliance with A&M System and HSC guidelines.\nMaintain strict confidentiality with regards to exams, quizzes, and planning information prior to implementation\nUnderstand and possess knowledge of Undergraduate Medical Education policies and procedures, as well as the Medical Student Handbook\nUndertake special tasks and projects as assigned by Pre-Clerkship Program Manager and/or the Pre-Clerkship Assistant Dean\nEngage in two (2) professional activities/academic year\nPerform other duties as assigned.\nQualifications:\nRequired Education & Experience\nBachelor’s degree or any equivalent combination of training and experience\nTwo (2) years of work experience in program coordination in education or related areas\nPreferred Qualifications\nBachelor’s degree\nFour (4) years work experience in program coordination in education\nExperience in health services and/or pre-clerkship medical education\nExperience as clerical or administrative assistance staff\nExperience with learning management systems - Canvas\nExperience collaborating with individuals and communities in a higher education and/or medical setting\nKnowledge, Skills, and Abilities\nAbility to successfully manage several tasks simultaneously\nAbility to work cooperatively with others\nAbility to work independently\nEffective interpersonal skills\nEffective verbal and communication skills\nKnowledge of word processing and spreadsheet applications\nProficiency in MS Word, Excel, PowerPoint, Outlook and database applications\nStrong organizational and customer service skills\nWhy Texas A&M University?\nWe are a prestigious university with strong traditions, Core Values, and a community of caring and collaboration.
