Target start date in January 2027 The Procurement Contracts Operations Associate provides operational and technical support to the Procurement Contracts Department (P C). The position supports department management; delivers customer service to internal and external stakeholders; maintains data in complex accounting and contract administration systems; develops procedural and technical documentation; analyzes data and reports department metrics; and contributes to P C projects and initiatives. The position collaborates proactively with the P C team, Contract Management Office, external vendors, TRS leadership, and agency staff. WHAT YOU WILL DO: Business Operational Support\nProvides administrative and operational support to P C staff and management, including preparing correspondence, forms, meeting materials, agendas, presentations, executive summaries, and follow-up documentation.\nMaintains and updates policies, procedures, job aids, training materials, and recurring reports, ensuring accurate content, document control, and compliance support.\nSupports program development and operational improvement through research, trend analysis, benchmarking, quality reviews, and tracking of procurement and contract requirements.\nCompiles information and coordinates responses to public information requests and inquiries from internal business units.\nCoordinates meetings and tracks feedback, approvals, action items, and related records to support timely follow-through.\nCoordinates travel for the Division, including preparation of travel vouchers, reimbursements, and other related documents. Technical Support\nCollects, validates, maintains, and analyzes data and performance metrics; prepares recurring and ad hoc reports, dashboards, charts, summaries, and other analytical products to support workload management and decision-making.\nMaintains department systems and digital content, including PAVES, SharePoint, shared drives, and the metrics dashboard, to support accurate information, effective organization, usability, and document consistency.\nIdentifies outdated, duplicate, or disorganized content and supports appropriate review, cleanup, and records maintenance.\nDocuments processes and develops guidance and training materials for department technologies and systems.\nProvides responsive technical and customer support to internal and external stakeholders and collaborates with P C staff on special projects. Project Management Support\nParticipates on division and agency-wide project teams.\nSupports project planning and execution by developing project plans, timelines, task lists, materials, and deliverables; coordinating inputs; and monitoring deadlines.\nTracks and communicates project status, risks, issues, decisions, and action items to team members and stakeholders.\nIdentifies project obstacles, recommends solutions, and facilitates meetings and discussions to maintain progress.\nManages assigned deliverables from initiation through completion, ensuring timely and accurate results.
