Together, we’re shaping the future by enabling customers to make pivotal decisions that safeguard communities and power progress.We are looking forLogistics Coordinator (2-Year FTE) to coordinate daily shipment arrangements, managing incoming materials, maintaining accurate inventory records, and ensuring timely and compliant processing of shipping documentation. The role works closely with internal stakeholders, freight forwarders, customers, and relevant departments to support efficient warehouse and logistics operations while adhering to company security requirements, trade compliance policies, and applicable Singapore Customs and tax regulations.\n\nThis is a 2-Year Fixed Term Employment.\nResponsibilities:\nCoordinate daily shipment arrangements with production planners, freight forwarders, and other relevant stakeholders to ensure timely delivery and collection.\nArrange and manage daily and weekly flight bookings with freight forwarders according to shipment requirements and schedules.\nMonitor shipment progress and follow up on potential delays or operational issues to ensure smooth logistics operations.\nEnsure all shipments comply with PCI-CP requirements, Thales DIS Trade Compliance Policy, and applicable Singapore Customs and tax regulations.\nReceive direct and indirect materials, consumables, and non-inventory items, ensuring that deliveries are processed accurately and promptly.\nInspect incoming materials for packaging abnormalities or damage, raise alerts when discrepancies are identified, and coordinate with the Quality and Purchasing teams for further inspection and resolution.\nPerform goods receipt transactions in the ERP system, including standard receipts, unplanned receipts, and virtual receipts for drop shipments.\nEnsure appropriate packaging materials and methods are used to meet customer specifications, product protection, and security requirements.\nMaintain inventory accuracy in accordance with established objectives and support inventory cycle counts and discrepancy investigations.\nValidate shipping documents, commercial invoices, and permit declarations to achieve 100% documentation accuracy in accordance with established requirements.\nIdentify and escalate documentation discrepancies or compliance risks to the relevant stakeholders for timely resolution.\nPrepare and submit monthly operational reports accurately and within the required timelines.\nIdentify opportunities to improve shipping, receiving, documentation, and warehouse processes to enhance productivity and operational efficiency.\nPrepare and submit monthly operational reports accurately and within the required timelines.\nIdentify opportunities to improve shipping, receiving, documentation, and warehouse processes to enhance productivity and operational efficiency.\nParticipate in special projects and other work-related assignments as required to support departmental and business objectives.\n\nRequirements:\nDiploma in Logistics, Supply Chain Management, Business Administration, or a related discipline.\nMinimum of 3 years of relevant experience in shipping, logistics, warehouse operations, or a similar function.\nGood working knowledge of shipping, receiving, inventory control, and warehouse processes.\nExperience or exposure to customer interactions and coordination with internal and external stakeholders.\nFamiliarity with ERP systems such as Oracle, SAP, or equivalent platforms.\nStrong attention to detail, particularly in shipping documentation, invoice validation, and permit declarations.\nGood communication, coordination, and interpersonal skills.\nAbility to prioritise tasks, manage competing deadlines, and work effectively under pressure.\nAdaptability and a proactive approach to identifying process improvements.\nAble to work effectively in a fast-paced logistics and warehouse environment.\nWillingness to undertake additional duties and special projects as assigned, in line with business and operational needs.\nAt Thales, we’re committed to fostering a workplace where respect, trust, collaboration, and passion drive everything we do.
