This is an exciting opportunity to join the EvernorthPharmacy Benefits Services team.
Based near the Boston, MA area (Newton/Framingham), the Administrative Services Senior Representative will provide support for a fast-growing team leading a large-scale technology transformation.This role serves as a trusted partner, professional problem solver, and strategic administrative resource. In addition to traditional administrative and office management responsibilities, this position will support cross-functional initiatives, internal communications, reporting, and special projects.
The ideal candidate will demonstrateexceptional organizational skills, sound judgment, discretion, and the ability to effectively manage multiple priorities in a fast-paced environment.
Responsibilities
Executive and Administrative Support
Perform diversified and confidential administrative duties for leaders, leveragingbroad experience and knowledge of organizational policies and practices.
Manage complex scheduling requests involving multiple leadership levels across the enterprise with speed, accuracy, and efficiency.
Maintain highly effective calendaring systems and proactively identifyopportunities to improve efficiency and effectiveness.
Make last-minute scheduling decisions based on changing business priorities and organizational needs while exercising sound judgment.
Handle travel arrangements for leaders and prepare, reconcile, and submitexpense reports.
Meeting & Event Coordination
Serve as the administrative lead for department meetings, including scheduling, logistics, technology support, and meeting execution.
Coordinate meeting logisticsfor both in-person and Microsoft Teams meetings, including room reservations, materials distribution, SharePoint posting, and participant communications.
Manage virtual engagement tools and meeting support activities, including Slidosubmissions, post-meeting surveys, and communication of survey results.
Ensure all technology requirements are addressed to support successful meeting execution.
Communications & Team Support
Support internal communication activities, including organizational announcements, leadership communications, town hall presentations, and operational updates.
Publish and maintaindepartment organizational charts.
Maintain departmental distribution lists and communication resources.
Coordinate onboarding activities for new employees to ensure a seamless onboarding experience.
Cross-Functional Collaboration
Build and maintainstrong working relationships with internal partners, including:
Administrative and Executive Assistants
Technology Support Teams
Corporate Communications
Corporate Travel
Real Estate and Workplace Services
Collaborate with and provide backup support to other administrative professionals as needed.
Department Operations
Manage department space planning activities in partnership with the Real Estate team.
Order equipment and supplies through approved procurement systems.
Support vendor payment activities, including invoice tracking and approvals.
Serve as a delegate for travel and expense processing through Concur.
Support departmental projects, reporting, and operational initiatives as assigned.
Required Qualifications
High School Diploma or GED required; Associate's or Bachelor'sdegree preferred.
5+ years of progressively responsible administrative support, executive assistant, project coordination, or related experience.
Demonstrated ability to work independently while maintainingconfidentiality and exercising sound judgment.
Exceptional organizational and prioritization skills with the ability to manage multiple competing priorities.
Strong verbal and written communication skills.
Experience managing complex executive calendars and coordinating meetings across multiple teams and organizational levels.
Proficiencywith Microsoft Office applications, including:
Outlook
Word
PowerPoint
Excel
Experience utilizingMicrosoft Teams and other collaboration technologies.
Ability to build effective relationships and collaborate across a highly matrixed organization.
Technical aptitude and the ability to troubleshoot technology issues in partnership with support teams.
Preferred Qualifications
Experience supporting technology organizations, transformation initiatives, or large-scale business operations.
Experience with Concur expense management systems.
Experience with SharePoint administration and content management.
Experience supporting senior leadership in a corporate environment.
