TIAA is an American financial services organisation founded in 1918 by the Carnegie Foundation to provide pensions for university teachers who had none, and it remains focused on the academic, medical, government and non-profit sectors. It is structured as a non-profit at the parent level with a for-profit subsidiary, and it is best known for its traditional annuity, an unusual product that pays lifetime income and has shared surplus with participants for over a century. Headquartered in New York, it administers retirement plans for millions of employees and owns the real estate manager Nuveen.

The Global Sales and Advisor Development (GSAD) Project Coordinator serves as a strategic partner to the GSAD team, integrating content management, data analysis, and project coordination with critical administrative support functions. The coordinator contributes to multi-level reporting initiatives that inform decision-making at all levels of the organization. This role offers meaningful growth opportunities in operations and project management, data analytics, and cross-functional collaboration, while ensuring seamless execution of team priorities at all levels of the organization.

The coordinator acts as the primary point of contact for Advisor Education event scheduling, continuing education sponsorship activities, and document management. Success in this role requires strong partnership with Advisor Education content writers and speakers, as well as select stakeholders in Marketing and Compliance, to support the team's expanding needs and consistently deliver high-quality results across all initiatives.

Key Responsibilities and Duties

  • Event scheduling & coordination: Manage end-to-end scheduling for Advisor Education speaking engagements across both internal and external events - ranging from branch-level meetings to national industry conferences. Responsibilities include all pre- and post-event coordination with Nuveen sales teams, ensuring a consistent and professional experience across every touchpoint.
  • Data analysis & reporting: Play an integral role in the team's data analysis and reporting function, serving as a key contributor to multi-level reporting initiatives in partnership with data scientists. Responsibilities include preparing and managing quarterly home office reports, conducting data analysis to surface actionable insights, and producing presentation-ready deliverables shared both internally with team members and more broadly with senior leaders and executive stakeholders.
  • Continuing education & sponsorship management: Serve as the primary contact for continuing education sponsorship activities, overseeing the full lifecycle of program management including new program applications, sponsorship renewals, and ongoing relationship coordination with relevant partners.
  • Document management & Compliance: Oversee the Advisor Education document management process, including ongoing maintenance of content libraries and coordinating firm submissions to Marketing.
  • Financial administration: Process expense submissions for speakers and manage purchase orders and invoices on behalf of the team, ensuring accuracy and adherence to internal financial processes.
  • Meeting facilitation & executive communications: Prepare agendas and PowerPoint presentations for monthly GSAD meetings and regular Advisor Education team gatherings, including offsite events. Support clear and professional communication across the team and with senior stakeholders.
