We are proudly part of Japan Post - www.tollgroup.com\nWe are seeking a highly organised and proactive Program Administrator to support Project Uno, Toll's SAP S/4HANA transformation program, based in Penang, Malaysia.\nThis role will provide project coordination, administration, reporting, and governance support to ensure the successful delivery of the transformation program.\nKey Responsibilities:\nProject Coordination & Administration\nCoordinate project activities, meetings, workshops, and stakeholder engagements.\n\nPrepare meeting agendas, minutes, and track action items.\n\nMaintain project schedules, trackers, and key milestones.\n\nFollow up on outstanding actions and deliverables.\n\nReporting & Governance\nPrepare weekly and monthly project status reports.\n\nMaintain RAID (Risks, Actions, Issues, and Decisions) logs.\n\nSupport governance meetings and prepare reporting materials.\n\nEnsure project documentation is accurate and up to date.\n\nDocumentation & Communication\nMaintain project documentation and records in SharePoint and other project tools.\n\nAssist with the preparation of presentations, reports, SOPs, and project communications.\n\nSupport stakeholder communications and coordination across project workstreams.\n\nProject Support\nSupport project planning, resource coordination, and business readiness activities.\n\nAssist with training coordination, change management, and deployment activities as required.\n\nProvide general administrative support to the Project Manager and program team.\n\nRequirements\nMinimum 3 years of experience in Project Administration, Project Coordination, PMO, or similar support roles.\n\nExperience supporting large-scale transformation, ERP, or SAP projects is preferred.\n\nStrong organisational, coordination, and time management skills.\n\nExcellent communication, stakeholder management, and minute-taking skills.\n\nProficient in Microsoft Office applications, including Excel, PowerPoint, Word, and Teams.\n\nExperience with SharePoint and project management tools is an advantage.\n\nAbility to manage multiple priorities in a fast-paced project environment.\n\nThink you've got what it takes?
