This is an exciting opportunity for a commercially minded professional to contribute to the establishment and growth of the agency business, build strong customer relationships, and oversee end-to-end port call operations. If you thrive in a fast-paced environment and enjoy coordinating multiple stakeholders to ensure seamless vessel movements, we would love to hear from you.\nKey Responsibilities\nSupport the development and growth of the agency business by identifying and securing new customers.\n\nManage end-to-end port call operations, from pre-arrival arrangements through to Final Disbursement Account (FDA) closure.\n\nHandle vessel clearance requirements, including ICA applications, pilotage bookings, transmission messages, and MPA Digiport submissions.\n\nPrepare quotations and provide tailored solutions based on customer requirements.\n\nMonitor vessel movements and ensure timely, accurate, and proactive communication with principals, ship owners, charterers, and relevant stakeholders.\n\nMaintain strong relationships with principals through responsive communication and regular operational updates.\n\nEnsurecomplianc e with Ships Agency procedures, QHSSE standards, statutory regulations, and company policies.\n\nRespond promptly to customer and stakeholder enquiries, ensuring a high level of service excellence.\n\nCoordinate crew changes, technician boarding, launch/service boats, transportation arrangements, and other vessel support activities.\n\nArrange and oversee the delivery of ship spares, stores, and provisions.\n\nLiaise with suppliers, contractors, port authorities, and service providers to ensure smooth vessel operations.\n\nMonitor operational costs and drive cost-effective solutions while maintaining service quality.\n\nEnsure accuracy, efficiency, and timely completion of all operational and documentation requirements.\n\nSupport and manage other shipping agency operational activities as required.\n\nRequirements\nDiploma or Bachelor's Degree in Maritime Studies, Shipping, Logistics, Supply Chain Management, Business Administration, or a related field.\n\nMinimum 2-5 years of experience in shipping agency, vessel operations, port operations, or maritime logistics.\n\nKnowledge of port call processes, vessel documentation, customs and immigration procedures, and maritime regulations.\n\nExperience with MPA Digiport, pilotage bookings, and vessel clearance procedures will be an advantage.\n\nStrong commercial awareness and ability to develop customer relationships and identify business opportunities.\n\nExcellent communication and stakeholder management skills with the ability to work effectively across multiple parties.\n\nStrong problem-solving skills and ability to make sound operational decisions under pressure.\n\nHighly organized with strong attention to detail and accuracy.\n\nProficient in Microsoft Office applications, particularly Excel, Outlook, and Word.\n\nAbility to work independently in a fast-paced operational environment and manage multiple priorities simultaneously.\n\nWillingness to be available outside standard office hours when operational requirements demand.\n\nWhat moves you?\nAt Toll, you can help play a vital role in delivering what matters.
