reviews and implement corrective actions when necessary\nIdentify opportunities for vendor consolidation and cost optimization\nFinancial Management\nManage facilities budget and control operational costs effectively\nPrepare and process purchase orders, track invoices and monitor payment schedules\nPrepare monthly financial reports including variance analysis and cost forecasts\nIdentify cost-saving opportunities without compromising service quality\nEnsure accurate budget allocation and expense tracking across all facilities activities\nOperations & Asset Management\nMaintain optimal office operations and consistently high service levels\nOversee asset lifecycle management including maintenance schedules and replacement planning\nManage office space planning, occupancy optimization and workspace allocation\nControl supplies inventory and manage procurement processes efficiently\nCoordinate maintenance activities and ensure minimal disruption to business operations\nImplement preventive maintenance programs to extend asset lifespan\nCompliance & Standards\nMaintain and update the local Facilities handbook in line with global and regional guidelines\nEnsure full compliance with corporate policies, health and safety regulations\nImplement and monitor security protocols and emergency response procedures\nConduct regular audits to ensure adherence to standards and identify improvement areas\nStay current with relevant legislation and industry best practices\nStakeholder Management\nDrive employee satisfaction by delivering responsive and high-quality facilities services\nProvide a clean, comfortable, safe and functional work environment for all occupants\nOrganize and coordinate internal company events and initiatives\nImplement global campaigns and initiatives at the local office level\nManage facilities-related internal communications and intranet content\nAct as primary point of contact for facilities-related inquiries and escalations\nContinuous Improvement & Reporting\nMonitor key performance indicators and prepare comprehensive monthly performance reports\nIdentify and implement process improvements to enhance efficiency and service delivery\nEvaluate facility performance against evolving business needs and industry benchmarks\nLeverage technology and innovation to optimize facilities operations\nGather and analyze feedback to drive service improvements\nQUALIFICATIONS & REQUIREMENTS\nExperience\nMinimum 3-5 years of progressive experience in facilities management or similar operational role\nProven track record of leading and developing small teams (2-5 people)\nDemonstrated experience managing vendor relationships and service contracts\nStrong background in budget management and cost optimization\nExperience in a corporate office environment, preferably in a multinational organization\nEducation\nBachelor's degree in Business Administration, Facilities Management, or related field (preferred but not mandatory)\nLanguage Requirements\nEnglish: Intermediate to Advanced level (B2-C1) - written and spoken\nWORKING CONDITIONS\nFull-time position based in office environment\nOccasional site visits to other locations or vendor facilities may be required\nFlexibility required for event coordination, emergencies or urgent facilities issues\nSome work outside standard business hours may be necessary on
