The key responsibilities include coordinating with internal teams to develop comprehensive quotes, delivering these quotes to customers, meticulously tracking their status, and accurately inputting confirmed orders into Epicor, our ERP system.\nThe Sales Operations Coordinator demands strong organizational and administrative skills, an eye for detail, and excellent communication abilities to effectively support the internal team and ensure a seamless flow from customer inquiry to fulfillment.\nMinimum Qualifications\nEducation:\nHigh school diploma or equivalent required.\nAssociate’s or Bachelor’s degree in a related field (Business Administration, Sales, etc.) preferred. \nExperience:\n1-2 years of experience in an administrative support role, preferably within a sales or customer service environment.\nExperience with an ERP system is a plus.\nKnowledge:\nWorking knowledge of Microsoft Excel is preferred.\nSkills:\nStrong written and verbal communication skills.\nExcellent attention to detail and accuracy.\nDemonstrated accuracy in data entry.\nAdditional Requirements: \nThis position requires use of information or access to hardware and documents which are subject to the International Traffic in Arms Regulations (ITAR). ITAR defines a U.S. person as a U.S. Citizen, U.S. Permanent Resident (i.e. 'Green Card Holder'), Political Asylee, or Refugee.\nJob Responsibilities\nCommunicate with customers primarily via email regarding new quote requests, quote status, and general customer inquiries \nManage the quotation process, from receiving initial customer inquiries to final order entry in Epicor (ERP System).\nCollaborate with internal teams (Inside and Outside Sales, Engineering, Production Control, Customer Service) to gather necessary information for accurate quote preparation\nServe as central point of contact for internal sales-related administrative inquiries\nPrepare and maintain customer quotations in Epicor, coordinating with the pricing team and Engineering when additional information or review is required\nTrack open quotations and follow up as needed to obtain information and provide customers with timely updates \nReview finalized purchase orders and coordinate the transition from quoting to production \nPrepare production and Quality Control folders for new orders, ensuring all required paperwork, drawings, processes, and other documentation are complete and organized\nTrack the status of submitted quotations, following up with customers as needed to progress opportunities\nCommunicate relevant order and documentation requirements to Production and other internal departments to support a smooth transition into manufacturing\nMaintain accurate records of quotations, customer communications, purchase orders, and production documentation\nOther responsibilities, initiatives and ad-hoc projects as required. \nInternal and External Relationships\nPhysical Requirements\nThe physical demands described here are representative of those that must be met to successfully perform the essential functions of this job.
