We take pride in maintaining an atmosphere of casual elegance, top-tier service, and robust financial health.\nPosition Summary\nThe Assistant Controller plays a critical role in managing the daily financial operations, accounting functions, and regulatory compliance of the master community association. Working under the guidance of the Controller, this position ensures accurate financial records, leads the month-end and year-end closing processes, and works closely with Accounts Payable to ensure accurate and timely coding of invoices. The ideal candidate possesses a strong background in hospitality, club, or property management accounting, with deep knowledge of industry-specific software.\nKey Responsibilities & Essential Functions\nFinancial Reporting & General Ledger\nLead the month-end and year-end closing processes to ensure accurate, timely, and complete financial reporting.\n\nPrepare monthly journal entries, bank reconciliations, and balance sheet account reconciliations.\n\nCompile monthly financial statement package including variance analysis (actual vs. budget) for department heads, the Controller, and committees.\n\nMaintain fixed asset schedules, depreciation calculations, and capital reserve tracking.\n\nClub & Association Operations Accounting\n Work closely with accounts payable and receivable operations, ensuring strict adherence to internal controls and vendor payment terms.\n\nWork with remote member billing, including annual HOA/club dues, capital assessments, food & beverage minimums, and golf shop charges to ensure timely posting of daily receipts.\n\nMonitor physical inventory counts for food, beverage, and retail merchandise alongside department heads.\n\nBudgeting, Internal Controls & Compliance\nAssist in preparing annual operating and capital budgets for both the club and the community association.\nMonitor and enforce internal control policies to protect club assets and ensure compliance with GAAP.\nPrepare schedules and documentation for external auditors during the annual financial audit and tax filing periods.\nManage local and state tax filings, including sales tax, discretionary tax, and 1099 processing.\n\nTeam Leadership & Support Supervise, mentor, and cross-train accounting staff (e.g., Accounts Payable, Accounts Receivable/Member Billing coordinators).\nAct as a point of contact for members regarding complex billing, account statements, and equity/membership questions.\nStand in for the Controller during absences, representing the finance department across executive and committee meetings.\n\nQualifications & Experience\nEducation: Bachelor’s degree in Accounting, Finance, or a related field is required.\n\nExperience: 3-5+ years of progressive accounting experience, with a minimum of 2 years in a private club, resort, HOA, or hospitality environment.\n\nSoftware Proficiency: Experience with Northstar and Avidxchange or similar club management and ERP software is highly preferred.
