This role manages billing-related escalations, assists with payment arrangements, investigates account discrepancies, and ensures timely, accurate resolution of billing concerns.\nThe Coordinator collaborates with clients, administrative teams, clinical staff, insurance verification, billing, and leadership to deliver professional, efficient, and client-centered support.\nThe ideal candidate is organized, detail-oriented, service-focused, comfortable with financial systems, and skilled at navigating sensitive billing conversations with professionalism and empathy.\nEssential Responsibilities\nClient Billing & Account Support\nServe as a primary resource for client billing questions, outstanding balances, payment concerns, and account discrepancies.\nReview accounts, explain balances and payment options, and establish approved payment plans.\nManage billing escalations with empathy, professionalism, and timely follow-through.\nDocument client interactions, resolutions, and follow-up activities accurately.\nCoordinate with administrative teams when billing concerns impact scheduling or client care.\nMaintain confidentiality and comply with HIPAA and organizational policies.\nBilling & Payment Reconciliation\nInvestigate and resolve discrepancies between EHR/client management systems and payment processing platforms.\nResearch failed, declined, duplicated, reversed, or incorrectly applied payments.\nAssist with payment posting, adjustments, refunds, credits, and outstanding balance follow-up.\nEscalate complex or unresolved financial discrepancies appropriately.\nInsurance Verification & Support\nAssist with insurance eligibility and benefits verification.\nSupport staff with questions regarding eligibility, copays, deductibles, coinsurance, and client financial responsibility.\nIdentify and help resolve insurance-related billing discrepancies.\nMaintain accurate insurance information and documentation.\nInternal Staff Support\nServe as a billing resource for front desk, scheduling, clinical, and administrative teams.\nProvide guidance on billing workflows, payment arrangements, insurance questions, and escalation procedures.\nReinforce established policies and help staff identify issues requiring escalation.\nCollaborate with leadership to address recurring concerns and improve processes.\nEscalation Management & Process Improvement\nManage billing escalations from initial concern through resolution, ensuring appropriate research, communication, documentation, and follow-up.\nIdentify recurring billing, payment, insurance, and workflow issues.\nRecommend solutions that improve accuracy, efficiency, and client experience.\nAssist with updating billing procedures, training resources, and standardized workflows.\nPartner with Billing and Operations leadership on continuous improvement initiatives.\nQualifications\nRequired\nHigh school diploma or equivalent.\n2+ years of experience in medical billing, insurance verification, revenue cycle, or healthcare administration.\nStrong communication, customer service, organizational, and problem-solving skills.\nExcellent attention to detail and ability to manage competing priorities.\nProficiency with technology and multiple software platforms.\nAbility to maintain confidentiality and comply with HIPAA.\nDemonstrated professionalism, accountability, and follow-through.\nPreferred\nExperience in behavioral health or outpatient healthcare.\nFamiliarity with EHR, practice management, and payment processing systems.\nExperience managing payment plans, insurance verification, and billing escalations.\nKnowledge of insurance benefits, copays, deductibles, and coinsurance.\nPerformance Expectations\nSuccess in this role is demonstrated through:\nTimely, accurate resolution of client billing questions and escalations.\nAccurate payment arrangements and account reconciliation.\nTimely insurance verification and discrepancy resolution.\nProfessional, responsive communication with clients and staff.\nComplete, consistent documentation and follow-through.\nCompliance with billing policies, HIPAA, and organizational procedures.\nProactive identification of recurring issues and opportunities for improvement.\nDisclaimer\nThis job description outlines the general responsibilities and expectations of the position and is not exhaustive.
