This position plays a key role in advancing strategic technology initiatives by coordinating projects, tracking deliverables, supporting executive communications, and promoting operational excellence across the IT organization.\nThe successful candidate will assist in the planning, execution, and monitoring of complex technology initiatives while ensuring projects remain aligned with organizational goals, budgets, timelines, and quality standards. This role also supports innovation, AI/automation initiatives, and continuous improvement efforts that enhance technology services across the university.\nResponsibilities:\nCoordinate and support multiple technology projects from initiation through implementation, ensuring alignment with strategic priorities and organizational objectives.\nMonitor project progress, maintain continuity, track milestones, and provide timely status updates to leadership and stakeholders.\nCreate, organize, and maintain comprehensive project documentation, schedules, reports, and project records.\nFacilitate project meetings, team stand-ups, and stakeholder communications, ensuring transparency and collaboration across project teams.\nPartner with executive stakeholders, business units, and technical teams to advance priority initiatives and achieve project goals.\nTrack project budgets, expenses, and financial data to support accurate reporting, reconciliation, and budget compliance.\nIdentify project risks, issues, and dependencies, escalating concerns and recommending mitigation strategies as appropriate.\nSupport AI and automation initiatives focused on improving IT processes, operational efficiency, and service delivery across the organization.\nMaintain project management tools, templates, and documentation standards while ensuring adherence to PMO methodologies and best practices.\nParticipate in lessons learned sessions, post-project reviews, and continuous improvement efforts to strengthen project delivery capabilities.\nCollaborate closely with senior project managers and IT leadership to support strategic planning initiatives and organizational priorities.\nMinimum Qualifications:\nBachelor’s degree and 2 years of relevant experience; or High School Diploma (or equivalent) and 6 years of relevant work experience in lieu of degree, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).\nPreferred Qualifications:\nExperience supporting projects, programs, or operational initiatives in a professional environment.\nDemonstrated ability to organize, prioritize, and manage multiple responsibilities simultaneously.\nExperience preparing reports, presentations, project documentation, or stakeholder communications.\nStrong analytical, organizational, problem-solving, and communication skills.\nProficiency with Microsoft Office applications, including Excel, Word, PowerPoint, and Teams.\nAbility to work collaboratively with technical and non-technical stakeholders.\nExperience supporting technology, IT, digital transformation, or business process improvement projects.\nKnowledge of project management methodologies, frameworks, and best practices.\nExperience with project management tools such as Smartsheet, Microsoft Project, Jira, ServiceNow, Planner, or similar platforms.\nExperience facilitating meetings, documenting action items, and tracking project deliverables.\nStrong data analysis and financial tracking skills, including budget monitoring and reporting.\nExperience supporting executive-level communications and stakeholder engagement.\nInterest or experience in AI, automation, process improvement, or operational excellence initiatives.\nProject management certification or training such as CAPM, PMP, Agile, Scrum, or equivalent\nExperience working in higher education, information technology, or other complex organizational environments.\nSpecial Instructions to the Applicants:\n The anticipated salary range for this position is $65,000 to $70,000.
