Project Planning & Coordination\nSupport the Project Director with overall project planning and delivery.\nCoordinate activities across different teams and workstreams.\nOrganize coordination meetings and follow up on agreed actions.\nIdentify scheduling conflicts and help resolve issues.\n2. Project Scheduling & Reporting\nPrepare and maintain the master project schedule.\nTrack key milestones and project deadlines.\nMonitor progress and highlight delays or risks.\nMaintain project risk and issue logs.\nPrepare regular project status and progress reports.\nTrack action items until completion.\n3. Vendor & Compliance Management\nCoordinate vendor and partner compliance requirements.\nTrack contracts, insurance, permits, licenses, and other required documents.\nMonitor document expiry and renewal dates.\nEnsure vendors meet project, safety, and site requirements before mobilization.\nHighlight compliance issues and recommend solutions.\n4. Project Delivery Support\nSupport project activities during planning, build-up, live operations, and close-out.\nMonitor project progress and ensure key deliverables are completed on time.\nProvide regular updates to senior management.\nSupport smooth coordination between internal teams, vendors, and other stakeholders.\n5. Team Coordination & Leadership\nLead cross-functional coordination meetings.\nFollow up with team leads on schedules, reports, and deliverables.\nEnsure information is accurate and submitted on time.\nEncourage accountability and effective teamwork.\nSupport teams in maintaining good planning and compliance practices.\nKey Deliverables\nPlanning Phase\nMaster project schedule\nRisk and issue Management, or a related field.\n5-7 years of experience in project management, PMO, program coordination, or similar roles.\nExperience in large-scale events, festivals, exhibitions, construction, or complex projects is preferred.\nStrong experience managing project schedules and multiple workstreams.\nExperience with vendor coordination and compliance documentation.\nExperience preparing reports
