The role keeps projects organized, on track, and compliant while providing essential administrative and reporting support to the safety and construction team.\nEssential Duties and Responsibilities:\nCreate, manage, and update Smartsheet sheets, dashboards, automated workflows, and reports to support project tracking and visibility.\nTrack site wide manpower and provide accurate and timely reporting.\nManage safety material procurement, maintain inventory, and track related invoices, payment controls, and purchase orders.\nMaintain and update safety documentation, daily logs, training records, subcontractor compliance files, audit materials, and other project records.\nPrepare documentation for internal and external safety and quality audits, including reports, KPI dashboards, and safety metric summaries.\nOrganize and maintain accurate project files, contact lists, distribution lists, and other administrative records.\nPrepare and distribute meeting minutes and develop professional presentations, spreadsheets, documents, flowcharts, and other project communication materials.\nCollaborate with safety teams to ensure full compliance with safety protocols and regulations while promoting a strong safety culture.\nPerform additional duties to support project, safety, and administrative operations.\nQualifications:\nThe requirements listed below are representative of the knowledge, skill, and/or ability required.\nEducation/Experience:\nHigh School Diploma/GED.\n3+ years of administrative experience.\nConstruction Safety knowledge is a bonus.\nSkills and Competencies:\nStrong understanding of construction methods and safety practices, including audits, KPI tracking, and compliance documentation.\nSkilled in document control, version management, distribution, archival, and safeguarding confidential records.\nProficient in Microsoft Office with advanced Smartsheet skills for dashboards, reports, automation, and project tracking.\nQuick to learn and apply new technical skills through hands-on experience and evolving construction technology.\nHighly organized and detail-oriented with strong analytical abilities and capacity to manage multiple priorities.\nEffective under pressure with strong time-management skills and the ability to meet shifting deadlines.\nClear communicator able to engage stakeholders at all levels.\nStrong relationship-builder who collaborate well across teams while maintaining professionalism, integrity, and confidentiality.\nAdaptable, resilient, reliable, proactive, and comfortable working in active job-site environments.\nLanguage Proficiency:\nExcellent written and verbal communication skills in English; Mandarin proficiency is a plus.\nAdditional Requirements:\nMust have and maintain a valid driver’s license.
