We are seeking a Client Relations & Collections Coordinator to serve as the primary point of contact for our clients, manage collections and receivables, and keep client projects moving to completion.\nSuccess in this role requires disciplined execution, strong judgment, and a habit of closing loops without being chased. You are the person clients call first, the one who knows where every account stands, and the one who follows up before a small issue becomes a big one.\nOur clients are large organizations with significant utility usage, including hospitals, nursing homes, universities, hotels, government facilities, and commercial and residential real estate operators. UtiliSave identifies savings opportunities through deep utility tariff expertise, proprietary systems, and rigorous execution.\nResponsibilities\nClient relations\nAct as the primary contact for client inquiries and make sure every request is handled promptly.\nCommunicate with premier clients on a near day-to-day basis.\nStrengthen client retention by keeping relationships proactive through email, meetings, phone calls, and networking.\nSupport the Client Relations team with client outreach and client-related projects.\nManage administrative and client relations activities so nothing falls through the cracks.\nCollections and receivables\nOwn all collection activities, including follow-up inquiries, negotiating with past-due accounts, and maintaining cash receipts.\nCreate, implement, and enforce a collections manual that sets clear procedures and improves results.\nPrepare monthly and quarterly collections reports, including cash and client reports.\nProjects and operations\nManage client projects from start to finish to ensure high-quality, on-time completion.\nWork with Marketing to create and draft promotional materials.\nConduct research and assist with company events.\nManage and prioritize multiple responsibilities, plus ad-hoc projects assigned by the CEO and managers.\nRequirements\n1+ years of experience in client service, account management, collections, accounts receivable, or a similar role.\nBachelor's degree required.\nExcellent written and verbal communication skills, with a professional presence across phone, email, and video.\nComfort negotiating with past-due accounts while keeping the relationship intact.\nVery strong attention to detail and organizational discipline.\nAbility to manage multiple clients and projects without losing track, missing steps, or getting flustered.\nAbility to work independently once expectations are clear and collaborate effectively when needed.\nStrong research, follow-through, and problem-solving skills.\nStrong proficiency in AI tools, Microsoft Outlook, Excel, and Word, plus comfort with common online collaboration tools.\nPrior experience in professional services, legal, finance, consulting, or a similarly fast-paced environment is a plus.\nPosition Conditions\nThis is a full-time remote role with standard hours of 9:00 a.m. to 6:00 p.m. Eastern Time. You must keep a professional, distraction-free workspace and be reliably online, on time, and reachable during business hours.\nYou must reside in the United States within one hour of the Eastern Time Zone, and be permanently authorized to work in the U.S. as a citizen or lawful permanent resident.\nBenefits\nSalary: $35,000 to $40,000 per year, with increases tied to performance and how quickly you master the role.\nBenefits include health, dental, and vision insurance; 401(k) with company match; and paid time off.\nTraining will be provided on UtiliSave's systems, workflows, and processes.
