This position ensures the office/suite environment is organized, professional, fully functional, and ready for employees, clients, candidates, and events. \nThe coordinator serves as a key support resource to the Operations team, Sales team, Recruiting team, and leadership, handling recurring operational responsibilities, coordinating events and facility’s needs, and providing backup coverage to maintain business continuity. \nPrimary Areas of Responsibility \nAdministration & Office Operations \nOperations Team Backup \nSuite & Facilities Management \nSales Team Support \nRecruiting Team Support \nTarget Weekly Allocation (40-hour week) \n\nFunction \n\nHours/Week \n\n% \n\nAdministrative/Projects \n\n12 \n\n75% \n\nOperations Manager Support/Backup \n\n2 \n\n12.5% \n\nFacilities Management \n\n2 \n\n12.5% \n\nTotal \n\n16 \n\n*25% core operations/facilities and 75% internal customer support. \nDetailed Duties \n Admin Tasks and Projects - 75%\nLiasonfor Clients and Consultants, focus on troubleshooting access/ escalation \nWork-Order Contract creation and follow up as needed \nEmail and communication triage \nAssistwith consultant onboarding \nDisseminate daily onboarding tracking updates \nData entry and Salesforce Maintenance(tasks) \nBackup for Operations Team - 15%\nThis is an important componentof the position. \nThe Coordinatorshould be trained to step into routine operational responsibilities when the Operations Teamis unavailable. \nBackup responsibilities \nHandle routine operational requests \nAssistwith consultant onboarding \nProcess consultant time and expenses \nCoordinate office communications \nFollow established operating procedures \nEscalate issues appropriately \n Suite & Facilities Management - 10%\nThe Coordinatorbecomes the day-to-day owner of the physical workplace experience. \nDaily \nCheck conference rooms and common areas \nEnsure rooms are clean, organized and meeting-ready \nMonitor office supplies, kitchen suppliesand refreshments \nReview supply inventory \nPlace recurring orders \nMaintain emergency/contact information \nDetermining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs.
