Facilities/Administration\n\nReports To: Management/Head of Administration\n\nIndustry: Real Estate / Construction\n\nAbout the Role\n\nThe role will also involve coordinating vendors, contractors, service providers, maintenance teams, and other stakeholders to ensure that facility-related activities are delivered efficiently and cost-effectively.\nThe successful candidate will be responsible for ensuring that facilities, building systems, equipment, utilities, and common areas are properly maintained, safe, functional, and fit for purpose.\nWe are seeking a competent, proactive, and experienced Facility Manager to oversee the efficient management, maintenance, safety, and day-to-day operations of the Company's facilities and properties.\n\nKey Responsibilities\n\nDevelop and implement preventive and corrective maintenance plans for buildings, equipment, electrical systems, plumbing, air-conditioning systems, generators, water systems, elevators, fire safety systems, and other facility infrastructure.\nMaintain a preventive maintenance schedule and ensure that scheduled maintenance is carried out on time.\nOversee the day-to-day operations, maintenance, and general management of the Company's facilities and properties.\nEnsure that maintenance materials, tools, equipment, and spare parts are properly managed and available when required.\nCoordinate repairs, maintenance, renovations, installations, and facility improvement projects.\nPerform other facility-related duties as may be assigned by Management.\nPrepare periodic facility management reports, including maintenance activities, incidents, outstanding repairs, expenses, and recommendations.\nObtain and evaluate quotations from vendors and contractors and make recommendations based on quality, cost, and service requirements.\nMonitor utility consumption, including electricity, water, fuel, and other facility-related resources, and recommend measures for cost efficiency.\nRespond promptly to facility emergencies, breakdowns, complaints, and urgent maintenance requirements.\nEnsure that the Company's facilities are clean, secure, functional, presentable, and maintained to the required standard.\nDevelop and implement emergency response and business continuity procedures relating to facility operations.\nMonitor facility-related expenses and assist in preparing and managing maintenance and operational budgets.\nIdentify opportunities to improve facility efficiency, reduce operational costs, and extend the useful life of Company assets.\nSupervise facility maintenance personnel, technicians, cleaners, security personnel, and other service providers where applicable.\nEnsure that facilities comply with applicable health, safety, environmental, fire, and other regulatory requirements.\nMaintain accurate records of maintenance activities, equipment, warranties, service contracts, inspections, and facility assets.\nCoordinate and monitor external contractors, vendors, artisans, and service providers to ensure quality and timely delivery of services.\nLiaise with Management, HR, Finance, Security, Procurement, and other departments on facility-related matters.\nConduct regular inspections of facilities to identify maintenance issues, safety hazards, defects, and areas requiring improvement.\n\nQualifications\n\nProfessional certification in Facility Management, Project Management, Health & Safety, or a related field will be an added advantage.\nBachelor's Degree or HND in Facility Management, Estate Management, Engineering, Building Technology, Quantity Surveying, Architecture, Business Administration, or a related discipline.\n3–5 years of relevant experience in facility management, property management, building operations, maintenance, or a related field.\n\nExperience:\n\nExperience with maintenance planning, budgeting, procurement, and vendor management.\nExperience managing contractors, vendors, maintenance personnel, and service providers.\nPractical knowledge of building maintenance, electrical systems, plumbing, HVAC, generators, water systems, and other building services.\nGood understanding of occupational health and safety, fire safety, emergency procedures, and facility compliance requirements.\n\nRequired Skills and Competencies:\n\nThe ideal candidate should possess:\n\nAbility to manage multiple maintenance activities and priorities simultaneously.\nAbility to prepare clear reports and maintain accurate records.\nStrong problem-solving and decision-making skills.\nStrong facility and maintenance management skills.\nAbility to supervise and coordinate technical and non-technical personnel.\nHigh level of integrity, accountability, professionalism, and reliability.\nStrong attention to detail and ability to identify potential facility risks.\nAbility to work independently and demonstrate sound judgement.\nProficiency in Microsoft Office applications.\nExcellent organisational and time-management abilities.\nAbility to respond effectively to emergencies and urgent operational situations.\nGood negotiation and vendor-management
