Within the context of a patient/client and family-centred framework and continuum-based care model and in accordance with established standards of professional practice and the vision, values and policies of the organization, provides administrative and secretarial support for the VGH Eye Care Centre and supervises and coordinates clerical support requirements and workflow by establishing work schedules, organizing operating procedures and making recommendations for improvement. Makes necessary arrangements for hew hires, terminations, transfers, training and orientation. Types and transcribes medical, technical and non-technical materials from handwritten drafts or dictation and using various word processing, spreadsheet, presentation and other office software. Arranges and books meetings and appointments. Makes travel and hotel arrangements and reservations. Receives and processes approved requests such as vacation, leave of absence and paid medical appointments. Maintains equipment and stationary needs and departmental records such as supply and equipment inventories, departmental operating statistics.This work is framed within VCH’s commitments to our pillars of Indigenous Cultural Safety, Anti-Racism, Equity, Diversity and Inclusion, and Planetary Health.
Qualifications
Education & Experience
- Grade 12.
- Successful completion of a recognized secretarial program.
- Three (3) years' recent related experience including (1) year experience in a supervisory capacity, or an equivalent combination of training, education and experience.
Knowledge, Skills & Abilities
- Ability to keyboard at 45 w.p.m.
- Ability to communicate effectively both verbally and in writing.
- Ability to deal with others effectively.
- Physical ability to carry out the duties of the position.
- Ability to supervise.
- Ability to organize work.
- Ability to operate related equipment.

The hours of work including days off and work area may be subject to change consistent with operational requirements and the provision of the Collective Agreement and applicable statutes.
