The successful candidate will be responsible for managing end-to-end invoice processing through the DataServ tool, resolving invoice exceptions, and supporting procurement activities to ensure timely and accurate transaction processing.\nThis role requires strong analytical and organizational skills, a solid understanding of procurement and invoice management processes, and the ability to collaborate effectively with internal stakeholders and external suppliers. The ideal candidate will be able to manage multiple priorities, maintain data accuracy, and contribute to the efficient execution of purchasing operations and supplier-related activities.\nJob Responsibilities:\n1. DataServ Invoice Management\nServe as the master expert of the DataServ tool, ensuring full ownership and proficiency in all functionalities related to invoice processing and exception handling.\nAccept and process invoices with exceptions, including but not limited to:\nPrice discrepancies between Purchase Order (PO) and invoice\nWrong PO lines received, requiring manual verification and correction in Oracle\nCost of transport and cost of packaging charges\nDiscrepancies between received PO lines and invoiced PO lines\nInvestigate and resolve invoice exceptions in a timely manner, ensuring accuracy and compliance with company policies.\nPerform manual checks in Oracle to validate PO line data against invoice information.\n2. Reporting & Monitoring\nRelease weekly reports of pending invoices, clearly identifying the related owner/responsible party and supplier for each open item.\nTrack and monitor aging of pending invoices, escalating critical items as needed.\nMaintain accurate records and documentation of all invoice exceptions and resolutions.\n3. Corrective Actions & Supplier Quality\nIdentify recurring supplier errors and missing information on invoices (e.g., missing part numbers, incorrect pricing, incomplete documentation).\nAddress and lead corrective actions in collaboration with the Commodities Manager to reduce supplier mistakes and improve invoice accuracy.\nCommunicate with suppliers to enforce compliance with invoice requirements and standards.\nSupport the development and implementation of process improvements to minimize invoice exceptions.\n4. Procurement Support - Order Acknowledgment (OA)\nSupport Materials Planners in inserting Order Acknowledgments (OA) for suppliers that do not use the E2Open platform. Oracle high knowledge is a must.\nVerify and validate the following OA data before entry:\nPrice accuracy against the Purchase Order\nQuantity alignment with ordered amounts\nDelivery dates consistency with planning requirements\nEnsure timely and accurate OA entry to maintain supply chain visibility and planning reliability.\nJob Qualifications:\nDiploma or Bachelor's degree in Engineering, Business Administration, Supply Chain Management, Accounting, Finance, or a related field.\nMinimum 3-5 years of experience in procurement, purchasing, supply chain, accounts payable, invoice processing, or related functions within a manufacturing environment\nWorking knowledge of Oracle ERP - Purchasing modules.\nFamiliarity with E2Open or similar supplier collaboration platforms.\nAdvanced proficiency in Microsoft Excel (pivot tables, VLOOKUP, data analysis).\nFluent and Conversant both in written and verbal English\nIntermediate MS PowerPoint knowledge\nAbility to identify discrepancies and errors in complex data sets.\nStrong problem-solving skills to investigate root causes of invoice exceptions.\nAbility to anticipate issues and take initiative in driving corrective actions.\nClear and effective communication with internal teams and external suppliers.\nAbility to manage multiple priorities, meet deadlines, and maintain accurate records.\nTeam player with the ability to work cross-functionally with Commodities Managers, Materials Planners, and Finance teams.\nCan work independently with minimal supervision\nAbility to participate in a team environment\nAbility to maintain a positive working relationship\nAbility to interpret a variety of instructions furnished in written or oral form\nAbility to work independently with minimal supervision\nAbility to manage and prioritize multiple tasks\nThe successful candidate will embrace Vertiv’s Core Principals & Behaviors to help execute our Strategic Priorities.\nOUR CORE PRINCIPALS: Safety.
