This is an opportunity to take ownership of complex billing and accounts receivable activities that directly support the financial success of VHB’s engineering projects and client relationships.\nYou will serve as a trusted advisor to Project Managers, Finance leadership, clients, and internal partners. You’ll apply your expertise to navigate complex billing requirements, resolve escalated account matters, strengthen collections outcomes, and turn receivables data into meaningful insights. If you enjoy bringing clarity to complex financial challenges, improving processes, and making a measurable impact on project performance, this role offers the chance to do just that.\nThis hybrid position is ideally based in one of our Massachusetts offices: Boston, Springfield, Watertown, or Worcester, MA. We may also consider candidates interested in a hybrid arrangement from another VHB office in New England.\nResponsibilities\nPrepare, review, and finalize complex client invoices in accordance with contract terms, client requirements, and internal billing deadlines.\nManage a portfolio of routine to highly complex project accounts, including billing exceptions, invoice revisions, credit/rebill activity, and escalated client concerns.\nReview contract compensation, billing methods, client requirements, and supporting documentation to ensure billing accuracy, completeness, and compliance.\nPartner with Project Managers and operational leaders to develop effective invoicing and collection strategies for complex or high-risk accounts.\nMonitor accounts receivable aging and proactively analyze aging trends, dispute categories, delayed-payment drivers, write-off risks, and potential cash-flow impacts.\nLead follow-up efforts for outstanding receivables and escalated collection matters; support payment-plan and issue-resolution approaches as appropriate.\nResearch and resolve complex billing, payment, subconsultant invoicing, and account-balance discrepancies with clients, Project Managers, vendors, and internal Finance partners.\nApply payments, reconcile unapplied cash, and oversee account reconciliations, credit memos, adjustments, and other receivables-related activities.\nMaintain complete and accurate project financial records and billing support documentation, including timesheets, expense reports, subconsultant invoices, and client-required materials.\nCoordinate with subconsultants and vendors on accounts payable activities, including invoice review, coding, tracking, and reconciliation.\nPrepare billing, AR aging, collections, and trend analyses for Finance and operational leadership to support sound financial decision-making.\nSupport internal controls, audit requests, policy adherence, and documentation standards related to billing and receivables activities.\nIdentify and drive improvements to billing workflows, reporting, customer communication practices, and financial processes.\nServe as a subject-matter resource for billing and AR practices; provide guidance, training, quality review, and mentorship to junior billing staff as needed.\nSupport the Finance team and Project Managers with additional finance, contract, and project-related activities as needed.\nSkills and Attributes\nDemonstrated ability to independently manage complex billing and accounts receivable activities while balancing multiple deadlines and priorities.\nStrong judgment, diplomacy, and issue-resolution skills, particularly when working through sensitive client matters or collection challenges.\nExceptional attention to detail and commitment to accuracy, quality, and compliance.\nAdvanced analytical and problem-solving capabilities, with the ability to identify trends, assess financial risk, and recommend practical solutions.\nStrong interpersonal, customer-service, and relationship-management skills.\nClear and professional written and verbal communication skills, including the ability to communicate effectively with clients, Project Managers, senior leaders, vendors, and Finance partners.\nAbility to take ownership of work, exercise sound discretion, and proactively advance billing and collection objectives.\nCollaborative leadership approach, with the ability to mentor colleagues and contribute to a positive, high-performing Finance team.\nAdvanced Excel skills, including formulas, VLOOKUP/XLOOKUP functions, PivotTables, data analysis, and reporting.\nQualifications\nBachelor’s degree in Accounting, Finance, Business, Management, or a related field preferred; equivalent relevant experience will be considered.\n4+ years of experience in billing, accounts receivable, collections, accounting, finance operations, or a related field.\nExperience managing complex billing and receivables matters within a professional services, engineering, architecture, construction, or project-based environment strongly preferred.\nAdvanced proficiency with ERP or accounting systems; experience with Deltek Vision or Vantagepoint is strongly preferred.\nAdvanced Excel and reporting skills, with the ability to analyze financial data and develop meaningful reporting for stakeholders.\nThe full-time annual base salary range for this position is $75,000 to $105,000 if located in Springfield, MA, $80,000 to $110,000 if located in Worcester, MA, and $82,000 to $115,000 if located in Watertown or Boston, MA. The base salary offered will be determined based on job-related factors, including geographic location, internal equity, experience, credentials, skills, education, work schedule, and other factors permitted by law. The posted salary range reflects base pay only. Additional compensation and benefits available to eligible employees are outlined in our Total Rewards Program.\nWe may consider candidates who will work from another New England VHB office location.\nAnnual base salary is one component of VHB’s Total Rewards package. In addition to base pay, eligible employees may receive annual incentive compensation bonuses, spot bonuses, and merit-based salary increases, providing opportunities to increase earnings beyond base pay.
