It brings Finance, People and operational teams together to make sure every colleague is paid accurately, on time and with care, wherever they work.\n\nWhy This Role Matters\nWhy the role exists\nAs Payroll Manager, you’ll be our go-to expert for payroll across the UK and Europe. You’ll own the end-to-end UK payroll and oversee outsourced international payrolls, starting with the Netherlands and expanding as Vintage.com enters new countries.\nThis is a hands-on role with real influence. You’ll combine technical payroll expertise with strong relationships, clear controls and practical problem-solving to create a payroll experience colleagues can trust.\nWhat success looks like\nUK payroll is accurate, compliant and delivered on time every month.\nOutsourced European payroll providers receive complete information, meet agreed standards and resolve issues quickly.\nPayroll changes, risks, approvals and dependencies are tracked clearly and supported by audit-ready records.\nPayroll journals, reconciliations and variance analysis give Finance reliable information each month.\nNew-country payrolls are introduced with clear ownership, controls, documentation and trusted providers.\nColleagues receive clear, caring and timely support when they have a payroll question.\nWhat You’ll Do\nUK payroll delivery\nOwn the end-to-end monthly UK payroll, from data preparation and validation through to approval, payment and reporting.\nCoordinate payroll changes with the People team, including new starters, leavers, salary changes, benefits, allowances and deductions.\nProcess statutory payments, including SMP, SPP and SSP, and maintain accurate supporting records.\nComplete payroll-related HMRC submissions, year-end activity and statutory reporting within required deadlines.\nEuropean payroll oversight\nOversee outsourced Dutch payroll and act as the key link between internal teams and the payroll provider.\nCheck payroll inputs and outputs carefully, challenge discrepancies and make sure issues are resolved before payroll is finalised.\nDefine clear responsibilities, timelines and controls with each international payroll provider.\nSupport payroll setup in new countries, including provider selection, onboarding, process design and readiness checks.\nControls, reporting and compliance\nMaintain clear payroll procedures, approval controls and audit-ready records across every country in scope.\nStay informed about relevant payroll legislation and translate changes into practical actions for the business.\nPartner with Finance on payroll journals, balance-sheet reconciliations, variance analysis and month-end reporting.\nSupport payroll audits, tax submissions and compliance reviews, providing complete and accurate evidence.\nTrack payroll risks, changes and dependencies, escalating concerns early and recommending appropriate action.\nSystems, improvement and colleague experience\nLead improvements to payroll systems, data flows and controls, including the implementation of new payroll platforms where required.\nRun post-payroll reviews to identify errors, recurring issues and opportunities to make the process simpler and more reliable.\nBuild strong working relationships across Finance, People and Operations, keeping stakeholders informed throughout each payroll cycle.\nRespond to colleague payroll queries with clarity, care and appropriate confidentiality.\nAct as the trusted payroll adviser for leaders and colleagues across the business.\nWhat You’ll Bring\nEssential\nAt least five years’ payroll experience, with strong technical knowledge of UK payroll and practical exposure to European payrolls.\nCIPP qualification at Full Member level or above.\nExcellent understanding of UK payroll legislation, statutory requirements, HMRC reporting and compliance.\nExperience overseeing outsourced international payroll providers and working across different country requirements.\nExperience implementing or improving payroll platforms, processes and controls.\nConfidence using payroll software, HR systems and Microsoft Excel.\nStrong numerical accuracy, attention to detail and organisational skills.\nClear communication and stakeholder-management skills, with the confidence to explain complex payroll matters simply.\nA proactive, improvement-focused approach and the ability to take ownership from issue through to resolution.\nHelpful\nExperience supporting payroll setup in a new country or territory.\nExperience working in a multi-site, international or fast-growing business.\nKnowledge of Dutch payroll or experience working directly with a Dutch payroll provider.\n
