Job Description

The Onboarding Solutions Manager supports Global Onboarding initiatives focused on operational excellence, process improvement, compliance, and employee experience. This role partners closely with onboarding leaders and cross-functional stakeholders to lead projects, implement operational enhancements, maintain process documentation, and drive key initiatives from concept through execution.

You will be a highly organized, self-directed professional who thrives in a fast-paced environment, builds strong relationships, and brings structure to complex initiatives. They will independently manage assigned projects, develop solutions, and deliver measurable business outcomes.

Key Responsibilities

Process Improvement & Operational Excellence

• Lead initiatives that improve onboarding processes, compliance, service delivery, and employee experience.

• Identify opportunities to streamline workflows, increase automation, and improve operational efficiency.

• Partner with leadership to develop and execute solutions aligned with business priorities.

• Support onboarding readiness activities related to acquisitions, integrations, system enhancements, and organizational changes.

• Develop business requirements and partner with technology teams to implement process and system improvements.

Program & Project Management

• Own assigned projects from planning through implementation and stabilization.

• Define project scope, objectives, success measures, timelines, and stakeholder engagement plans.

• Facilitate cross-functional working sessions and coordinate activities across relevant stakeholders.

• Monitor project milestones, risks, dependencies, and deliverables, providing recommendations and status updates to leadership.

• Drive accountability and ensure initiatives remain on track to achieve desired outcomes.

Compliance, Documentation & Governance

• Support onboarding compliance programs, including employment eligibility verification, Right to Work, background screening, and onboarding controls.

• Partner with relevant regional stakeholders to ensure requirements are incorporated into onboarding processes.

• Maintain process documentation, operational standards, job aids, and governance materials.

• Support audits, policy updates, risk reviews, and efforts to strengthen operational controls and consistency.

Stakeholder Partnership & Analytics

• Build strong working relationships with stakeholders across Global Onboarding.

• Facilitate discussions, gather feedback, and drive alignment on operational priorities and improvements.

• Analyze operational metrics and trends to identify improvement opportunities.

• Support development of dashboards, presentations, business cases, and leadership reporting.

Visa requires at least 3 days in office, expectations of these days will be confirmed by your Hiring Manager.

Qualifications

Basic Qualifications

• Experience in HR Operations, Shared Services, Talent Acquisition Operations, Employee Lifecycle Management, Program Management, or a related field.
• Experience leading cross-functional projects, process improvements, or operational initiatives.
• Demonstrated ability to independently manage initiatives from planning through implementation.
• Strong understanding of HR systems, including Workday and ServiceNow.
• Experience working with global stakeholders and distributed teams.
• Strong project management, organizational, and stakeholder management skills.

Preferred Qualifications

• Experience supporting onboarding, employee lifecycle, compliance, or shared services programs.
• Knowledge of I-9, Right to Work, background screening, or related compliance processes.
• Experience supporting technology implementations and operational change initiatives.
• Strong analytical, problem-solving, communication, and documentation skills.
• Ability to navigate ambiguity and influence outcomes across a matrixed organization.
