Founded in 2016 with big dreams and an innovation award, we've since grown into a trusted AI partner for leading brands across multiple industries and countries. Now, we're looking for an HR & Operations Specialist to take care of the people side of our growth and the operations that make it run.

Your Mission

As an HR & Operations Specialist, you'll own the employee experience end-to-end, from the first interview to the day-to-day that keeps the team running. Working closely with leadership and external partners, you'll make sure our people processes are smooth, compliant, and genuinely good to be on the receiving end of. Your responsibilities will include:

People Operations

• Managing the full employee lifecycle: onboarding, offboarding, contracts, documentation, and employee records

• Running attendance, time off, and leave management, keeping data accurate and up to date

• Managing our benefits and flexible compensation through Coverflex: enrollments, changes, employee questions, and monthly cycles

• Managing our health insurance plan: enrollments and exits, dependants, changes, renewals, claims support, and being the go-to person when someone has a question

• Coordinating occupational health: scheduling mandatory medical appointments, keeping fitness certificates and records up to date, and tracking renewals so we're never out of compliance

• Coordinating our training plan: identifying needs with managers, liaising with providers, handling scheduling and logistics, and keeping training records and certificates in order

• Being the first point of contact for employee questions on contracts, benefits, policies, and everything in between

• Ensuring compliance with Portuguese labour law and GDPR in everything we do with employee data

Talent Acquisition

• Managing our recruitment pipeline in Teamtailor: job postings, candidate flow, scheduling, and communication

• Coordinating interviews across hiring managers and candidates, and keeping the process moving

• Supporting employer branding and making sure every candidate has a great experience, hired or not

Operations & Administration

• Keeping our Google Workspace organized: accounts, groups, shared drives, permissions, and access management

• Managing our coworking spaces: desk and meeting room bookings, access for the team, plan and credit allocation, and keeping usage and costs under control

• Booking travel whenever it's needed - flights, accommodation, and transfers for the team, and for candidates and visitors

• Supporting invoice handling and expense follow-up with our finance and accounting partners

• Organizing team events, offsites, and internal initiatives that people actually look forward to

• Building and documenting the processes we don't have yet, and improving the ones we do

Your Skills & Experience

• Degree in Human Resources, Management, Psychology, Business Administration, or a related field

• Experience in HR, People Operations, or a generalist operations role: whether you're a few years in or bringing a decade of it, what matters to us is the fit

• Hands-on experience with HR platforms; familiarity with Factorial, Teamtailor, or Coverflex is a strong plus (if you've used similar tools, you'll pick ours up fast)

• Comfortable in Google Workspace and confident with spreadsheets

• Working knowledge of Portuguese labour law and of employee benefits administration

• Fluent Portuguese and professional-level English, both written and spoken

• Organized and detail-oriented, with the ability to run several processes in parallel without dropping any

• Discretion and a strong sense of confidentiality when handling personal and sensitive data

• Strong verbal and written communication skills - you'll be the voice of a lot of internal comms

• Curiosity for process improvement and openness to using AI-powered tools to increase efficiency

• Immediate availability, or a notice period of under 60 days, is a big plus
