Job Purpose
- We are seeking a Document Control Specialist to work with Quality, Manufacturing, Engineering, and subject matter experts to release documentation within our Quality Management System (QMS). This individual will play a crucial role in maintaining compliance with government regulations and ISO quality standards within an aerospace and medical manufacturing environment.
Key Responsibilities
- Ensure documentation is reviewed and approved per internal procedures.
- Ensure document formatting, naming conventions, and metadata standards are met.
- Implement and enforce version control and document approval policies.
- Ensure documentation is maintained and tracked throughout its lifecycle.
- Ensure documents are accurate, up to date, organized, and accessible.
- Review and publish Change Orders to ensure internal and ISO standards are met according to released processes, and resolve discrepancies with document owners in a timely and professional manner.
- Create templates and forms for use by other personnel.
- Ensure the organization follows document retention policies and procedures.
- Plan and coordinate documentation releases with document owners in adherence with training requirements.
- Manage small documentation projects and execute tasks independently, effectively, and efficiently.
- Support administration of eQMS systems such as Greenlight Guru and Windchill.
- Prepare documentation packages for audits and compliance reviews.
- Work with Quality subject matter experts to develop new and improve existing written processes and systems for continuous improvement.
- Provide cross-training to less experienced staff as required to ensure compliance.
- Support Quality Control and Document Control with logging, scanning, and filing as required.
Qualifications
- 2-4 years of experience in documentation management.
- Experience in a manufacturing and/or medical device or aerospace and defense production environment strongly preferred.
- Knowledge of version control practices and document lifecycle workflows.
- Strong attention to formatting, indexing, and metadata tagging.
- Strong knowledge of office software such as Microsoft Word, Excel, and Adobe.
- Experience using eQMS and/or Product Lifecycle Management (PLM) systems.
- Effective written and verbal communication, strong attention to detail, and organizational skills.
- A team player who collaborates across departments and builds positive working relationships.
- Discretion with sensitive or proprietary information.
VulcanForms offers a competitive salary and equity package. Actual compensation is based on factors such as the candidate's skills, qualifications, and experience. In addition, VulcanForms provides comprehensive benefits including medical, dental, vision, and life insurance; generous paid time off; and a 401(k) plan with company match.
The annual base salary range for this position is $69,324 to $95,329.
