This role requires strong organizational skills, attention to detail, a sense of urgency, and the ability to evaluate vendors and negotiate pricing to ensure parts are acquired at the best value while meeting quality, availability, and delivery requirements.\nEssential Responsibilities:\nSource and Purchase PartsSource and purchase parts in response to internal requests.\nEvaluate vendors and purchasing options based on cost, purchasing terms, quality, availability, and delivery timelines.\nIdentify cost-effective solutions while ensuring parts meet operational requirements.\n\nVendor Relations and NegotiationsNegotiate pricing, payment terms, shipping costs, and other purchasing conditions with vendors.\nDevelop and maintain professional relationships with suppliers to support efficient procurement operations.\n\nProcurement Team SupportProvide day-to-day support to the procurement team.\nAssist with resolving purchasing delays, sourcing challenges, and vendor-related issues.\nCommunicate part availability, order status, and expected delivery dates to relevant team members.\n\nRecordkeeping and DocumentationMaintain accurate records for all parts purchased, including purchase price, sale price, vendor information, order details, tracking information, and delivery status.\nEnsure procurement documentation is complete, accurate, and readily accessible.\n\nSystem UpdatesUpdate CRM and accounting systems with accurate part information, order status, tracking details, and other relevant procurement data.\nEnsure records are maintained in a timely manner to support operational visibility and accurate reporting.\n\nPurchase Order ManagementGenerate and maintain vendor purchase orders for every part purchased.\nVerify purchase order details for accuracy and ensure orders are properly documented and processed.\n\nAdditional DutiesPerform other duties and responsibilities as assigned to support the procurement function and overall business operations.\n\nSupervisory Responsibility:\nThis position has no supervisory responsibilities.\nWork Environmen t:\nThis position operates primarily in a professional office environment and routinely uses standard office equipment, including telephones, computers, copiers, filing cabinets, and other related equipment.\nCompetencies:\nExcellent time management and prioritization skills.\nStrong sense of urgency and ability to meet deadlines in a fast-paced environment.\nProfessional written and verbal communication skills.\nProficiency in Microsoft Office, particularly Excel.\nStrong interpersonal skills and the ability to build effective working relationships.\nExcellent organizational skills and the ability to manage multiple requests simultaneously.\nSelf-motivated, proactive, and able to work independently.\nStrong attention to detail and commitment to accuracy.\nProblem-solving skills and the ability to identify cost-effective purchasing solutions.\nEffective negotiation and vendor management skills.\nWork Schedule: Monday- Friday with weekend on call rotation\nPhysical Demands:\nThe physical demands described below are representative of those required to perform the essential functions of this position.
