Our local team works closely with our HQ in Switzerland, and we are looking for a Project Operations Manager to help us further strengthen and scale our operations.\nAs a Project Operations Manager, you will help keep our client projects running smoothly in cooperation with your project delivery responsible. You will make sure projects are set up correctly, project data stays accurate, invoices are processed on time, and potential deviations are identified early.\nThis role is a great fit for someone who enjoys working with data and systems, has a strong eye for detail, and likes bringing structure to multiple projects at the same time.\nKey Responsibilities\nReporting directly to the Project Operations Management Team Manager, your responsibilities will include:\nSet up and maintain client projects in our project management system BCS, ensuring accurate and complete project data\nManage the project lifecycle from initial setup and quotation structure through invoicing to final project closure\nPrepare and process invoices, including corrections, credit notes and cancellations, and support related operational activities such as payment monitoring and dunning\nMonitor standard project KPIs and timelines, identify deviations and flag them early to the relevant stakeholders\nMaintain high data quality and ensure project information, costs and efforts are correctly structured, categorised and processed\nCoordinate project-related information with colleagues across Project Management, Accounting and Controlling and act as a reliable point of contact for day-to-day project operations questions\nQualifications and Skills\nA sound understanding of professional project management, gained through relevant practical experience, work in a Project Management Office (PMO), training or education, and experience organising project work with digital tools\nGood understanding of commercial administration and invoicing, including quotations, orders, invoices and basic billing concepts such as net, gross and VAT\nBasic understanding of the project lifecycle and project performance monitoring, with the ability to recognise and flag deviations from defined plans, processes or KPI thresholds\nStrong attention to detail and a structured, accurate way of working, with the ability to manage multiple projects and tasks in parallel\nAnalytical and critical thinker who can identify issues, understand problems and work according to defined processes and guidelines\nService-oriented and supportive team player and quick learner who feels comfortable working in a fully digital environment\nOn our side, we offer...\na dynamic work environment fostering personal growth and development,\nopportunities to work on exciting projects with leading global brands,\nstructured onboarding and the opportunity to develop towards more complex Project Operations responsibilities over time,\nlearning from experienced colleagues across Project Management, Finance, Controlling and digital marketing,\nflat hierarchies and short decision paths as part of a young, dynamic and international team,\na vibrant office space in Cape Town and a flexible work environment with hybrid working,\na competitive compensation package.\nAre you interested?\nReady to take the next step in your career?
