The Business Applications Administrator is responsible for the administration, optimization, and ongoing operational effectiveness of enterprise applications used by functions within the Business Transformation & Corporate Operations (BTCO) department. This role ensures that business-owned systems are effectively configured, governed, supported, and continuously improved to meet evolving organizational needs and performance goals.The Business Applications Administrator serves as the primary functional and operational owner for assigned applications and acts as the critical liaison between BTCO business teams and Enterprise Technology department. The role partners closely with IT System Engineers, Application Engineers, enterprise architects, vendors, and business stakeholders to translate business requirements into effective system capabilities while ensuring solutions align with enterprise technology, security, integration, and data standards. Working with the Business Process Engineering teams within the BTCO department, the Business Applications Administrator is a leader in the adaption and expansion of AI-enabled business transformation and business model innovation implementation.
The position supports a diverse portfolio of business applications within the BTCO department that includes ServiceNow functionality such as Integrated Workplace Management Systems (IWMS) , Integrated Risk Management & Business Continuity (IRM & BC), and Program/Project Management (PPM),. Additional, non-ServiceNow applications, used by the team include SAP Signavio, Rhythms AI-Powered OKR System, and Grants Administration Systems.
The BTCO Business Applications Administrator reports directly to the Vice-President of Business Transformation & Corporate Operations. The job blends and requires both strategic roadmap and capability planning along with detailed, hands on, support and execution within individual applications.
*This is an in-office position working out of our corporate offices in Salt Lake City, Utah.
Primary Responsibilities

- Business Application Administration & Optimization: Own the day-to-day functional administration and operational performance of assigned business applications. Manage configurations, workflows, user access, reporting, enhancements, releases, and application roadmaps while continually identifying opportunities to simplify processes, improve the user experience, increase adoption, and maximize the value and business impact (scaling) of BTCO’s technology /application investments.
- Business & IT Partnership: Serve as the primary connection between BTCO and Enterprise Technology for BTCO lead applications. Translate business requirements and process designs into functional system requirements and work collaboratively with Enterprise Technology System Engineering and Application Engineering teams on integrations, complex configurations, technical architecture, security, data management, upgrades, and production support. Maintain clear accountability between business application ownership and technology engineering responsibilities, ensuring issues and enhancements are routed to the appropriate teams and delivered effectively.
- Process Enablement & Automation: Partner with BTCO Business Process Engineers and functional leaders to understand current and future-state business processes and translate those processes into effective application workflows. Identify opportunities to eliminate manual work, streamline approvals, improve data quality, automate repetitive activities, and improve the overall customer and employee experience.
- AI & Emerging Technology: Actively identify opportunities to incorporate AI and intelligent automation into BTCO applications and business processes. Partner with business and technology teams to evaluate emerging capabilities, implement practical AI-enabled solutions, and ensure solutions align with enterprise AI governance, security, and technology standards.
- Application Governance & Vendor Management: Maintain application standards, documentation, governance, enhancement backlogs, release plans, and application roadmaps. Coordinate with software vendors and implementation partners to resolve issues, evaluate new capabilities, plan upgrades, and ensure the organization is realizing the intended business value from its technology investments.
- Transformation Leadership, Executive Presence, and Sound Judgement: Transformation leadership is at the core of the BTCO team and this job. A tireless sense of urgency to define and implement transformational ways of using our business applications delivering value to our internal customers and students is essential. This role functions and interfaces with all levels of leadership within WGU. Executive presence and presentation are a key responsibility of the job, as well as sound judgement. It is a core responsibility of the role to approach challenges with a combination of critical thinking, data-driven insights, collaborative reasoning, and good instincts.
Qualifications
Knowledge, Skills, and Abilities
- Demonstrated experience configuring and optimizing enterprise SaaS applications, workflows, dashboards, reporting, and business rules.
- Experience with enterprise platforms such as ServiceNow, Strategic Portfolio Management, IWMS, SAP Signavio, OKR platforms, Enterprise Risk Management, Business Continuity, Grants Management, or comparable business systems.
- Working knowledge of AI, workflow automation, and emerging technologies and their application to business operations.
- Strong understanding of business processes and the ability to translate business requirements into functional system solutions.
- Experience partnering with IT engineering, architecture, security, integration, and data teams.
- Demonstrated ability to manage vendors, system enhancements, releases, and competing business priorities.
Education
- Bachelor’s degree in Information Systems, Computer Science, AI-Engineering, Business, Technology, Engineering, or a related discipline, or equivalent professional experience.
Experience
- 5+ years of experience administering, implementing, or supporting enterprise business applications.
Additional Requirements
- This role is in WGU’s Salt Lake City headquarters and is an in-office role 5 days a week.
Experience in lieu of education
- Equivalent relevant experience performing the essential functions of this job may substitute for education degree requirements. Generally, equivalent relevant experience is defined as 1 year of experience for 1 year of education and is the discretion of the hiring manager.
Preferred Qualifications
- Experience supporting enterprise applications within higher education or another large, complex organization is preferred. Experience with ServiceNow administration and configuration, SAP Signavio, IWMS, Strategic Portfolio Management, Enterprise Risk Management, Business Continuity, or Grants Management platforms is highly desirable.
- Relevant certifications in ServiceNow, SAP Signavio, Microsoft Power Platform, business analysis, project management, or related technologies are also preferred.
- Certifications through Anthropic’s Claude Certification Program are preferred qualifications. Any of these four certifications are preferred qualifications: Claude Certified Associate (Foundations), Claude Certified Developer (Foundations), Claude Certified Architect (Foundations), and Claude Certified Architect (Professional).
Travel
- This position requires occasional travel of up to 20%, including required attendance at designated company summits (typically one to two per year). Additional travel may include conferences, visits to company locations, and other business-related events as needed. Additional travel may be assigned as needed to support business requirements
