The Customer Service Coordinator (CS Specialist) is responsible for providing exceptional client support while managing business licensing, payroll tax registrations, sales tax registrations, nonprofit filings, and other regulatory compliance filings. This role serves as the primary point of contact for clients, ensuring applications, registrations, and compliance requirements are completed accurately and timely. The ideal candidate possesses strong customer service skills, licensing and compliance experience, attention to detail, and the ability to manage multiple projects in a fast-paced environment.

Hybrid: Eight days a month we come together in the closest office (USA) within 50 miles to experience the value of connecting with colleagues. Essential Duties and Responsibilities

Customer Service & Client Support

  • Serve as the primary point of contact for clients regarding licensing, registration, and compliance matters.

  • Respond to client inquiries via phone, email, and online platforms in a professional and timely manner.

  • Provide status updates and guidance throughout the filing and registration process.

  • Build and maintain positive client relationships through proactive communication and problem resolution.

  • Escalate complex issues when necessary while ensuring client satisfaction.

Business Licensing & Regulatory Compliance

  • Research and process state, county, and municipal business license applications and renewals.

  • Review licensing requirements and identify applicable licenses based on business activities and locations.

  • Monitor filing deadlines and renewal requirements to ensure ongoing compliance.

  • Maintain accurate records of filings, approvals, and renewal schedules.

  • Communicate with government agencies to obtain information and resolve filing issues.

Payroll Tax & Sales Tax Registrations

  • Process state payroll tax registrations, unemployment tax registrations, and employer account setups.

  • Complete sales and use tax registrations with state tax agencies.

  • Verify application accuracy and ensure all required supporting documentation is submitted.

  • Monitor registration statuses and follow up with agencies as needed.

  • Assist clients with understanding registration requirements and compliance obligations.

Nonprofit Filings

  • Prepare and submit nonprofit formation documents, charitable registrations, and related compliance filings.

  • Research nonprofit filing requirements at state and federal levels.

  • Support clients with obtaining required registrations and maintaining compliance obligations.

  • Track renewal and annual reporting requirements for nonprofit entities.

Compensation:

$40,500.00 - $69,150.00 USDThis role is eligible for Bonus.

Compensation range listed is based on primary location of the position. Actual base salary offer is influenced by a wide array of factors including but not limited to skills, experience and actual hiring location.
