Wise is a British financial technology company founded in 2011 by two Estonians who were frustrated by the cost of moving money between pounds and euros. It built a network of local bank accounts in each market so that most transfers never cross a border, publishes the mid-market exchange rate with an explicit fee, and has extended the model into multi-currency accounts, debit cards, business payments and an infrastructure product that banks resell. The company listed directly on the London Stock Exchange in 2021 and moves tens of billions of pounds for millions of personal and business customers each quarter.

Wise is a global technology company, building the best way to move and manage the world’s money.

Min fees. Max ease. Full speed.

Whether people and businesses are sending money to another country, spending abroad, or making and receiving international payments, Wise is on a mission to make their lives easier and save them money.

As part of our team, you will be helping us create an entirely new network for the world's money.

For everyone, everywhere.

More about our mission and what we offer.

We are looking for a Team Assistant to support our Product Team. This role will be based out of our Budapest office and is a unique opportunity to enhance the productivity of our leadership by managing complex logistics and key communications. You will ensure our leaders are prepared, organised, and focused on our mission to save billions for customers globally.

Your ability to anticipate needs and streamline administrative processes will be pivotal to your success in this role.

This is a unique opportunity to work in a fast-paced, global environment, supporting teams in a company that is changing the way money moves around the world.

As a member of the BOSS (Business Operations and Support Services) team, you’re a culture leader and a tactical partner. You own the logistics that keep our leaders focused on our mission, ensuring they are always prepared, effective, and empowered to drive Wise forward.

Your Mission

  • Calendar & Meeting Management: Independently manage complex diaries across multiple locations and time zones for two or more senior leaders. You will proactively protect their time, carving out dedicated blocks for document review and strategic thinking. You’ll also secure internal/external meeting rooms, register guests with reception as required.
  • Travel & Logistics: Research and book comprehensive travel and accommodation. You will also manage Visa applications and arrange courier services as needed.
  • Compliance & Document Administration: Process expenses and invoices in compliance with company policies. You may also assist with email inbox management as well as Workday approvals and other system-related tasks. You will maintain and update key document repositories including shared drives, Confluence pages and agendas.
  • Event Coordination: Organise and support team events, offsites, squad days, and socials. You will partner with stakeholders like the Workplace Team and UT to ensure the smooth running of the business and coordinate events that have a tangible impact on team culture.
  • Team Collaboration: Positively contribute to the BOSS Team by providing active support and cover for other members. You will participate in Mission Days, and squad days.
  • Ad-hoc Support: You will provide ad-hoc administrative support as required for other members of the team.
  • Culture Champion: Positively contribute to making Wise a great place to work.

Who you are

Qualifications & Experience

  • Proven experience as a Personal Assistant (PA) or Team Assistant (TA), ideally within a high-growth, global company.
  • A track record of managing complex diaries across multiple time zones and handling end-to-end travel logistics (including Visas).
  • Experience with expense processing and invoice management, with a high regard for policy compliance.
  • Expert in Google Suite (or similar) and collaboration tools like Slack, with the ability to maintain organised digital doc repositories.
  • You embrace opportunities to learn and grow, quickly adapting to new procedures and handling unexpected changes with ease.
  • You pride yourself on delivering well-organised, error-free work that reflects a high standard of professionalism.
  • You have the right to work in Hungary.

Skills & Abilities

  • Exceptional Organisation: You manage multiple priorities efficiently and deliver error-free work under pressure.
  • Proactive Preparedness: You have a knack for identifying logistical challenges before they arise, ensuring leaders always have what they need before a meeting starts.
  • Communication & Hospitality: Clear and concise communication skills with a professional presence for welcoming guests and interacting with "Wisers" at all levels.
  • Tech-Savvy & AI Ready: You are comfortable with new technology and are eager to use AI tools to streamline routine administrative workflows.
  • The Ultimate Team Player: You are a Relationship Builder and Cultural Champion who naturally fosters a culture of mutual support. You prioritise the success of the collective by providing active support and cover for other BOSS team members and embracing Wise’s mission-driven environment.
  • Discretion: You handle sensitive information with the highest level of integrity and confidentiality.

If you're ready to take on an exciting challenge and make a meaningful impact, we'd love to hear from you! Please submit your resume in English. We start reviewing applications from day one, so we recommend applying sooner rather than later!

Our Hiring Process

  • Application Review: We evaluate your experience in administrative, team assistant, or executive support roles, particularly in managing complex calendars, travel logistics, and supporting multiple stakeholders.
  • Quick Chat with a Recruiter (30 mins): A brief introductory call via Google Meet to discuss your skills, relevant background, salary expectations, notice period, and alignment with Wise.
  • First Interview with the Team (60 mins): A conversation focused on administrative expertise, complex diary and travel management, technical and collaboration tools, and stakeholder support.
  • Second Interview with the Stakeholders (60 mins): We evaluate your relationship-building capabilities and assess your core motivation to drive impact at Wise.
  • Final Interview (20 mins): An in-person meet-up with one of our BOSS team members to get the sense of what it is to work in the team.

For everyone, everywhere. We're people building money without borders - without judgement or prejudice, too. We believe teams are strongest when they are diverse, equitable and inclusive.

We're proud to have a truly international team, and we celebrate our differences.

Inclusive teams help us live our values and make sure every Wiser feels respected, empowered to contribute towards our mission and able to progress in their careers.
