Key Responsibilities:

Position Title: PNS Project Coordinator

Contract type: Full time, open-ended

Report to: LSP & PNS Manager

The PNS (Private Non-Sponsorship) Project Coordinator plays a key role in the successful implementation of internally & externally funded projects that contribute to the sustained well-being of children, especially the most vulnerable. This position is responsible for coordinating and managing diverse project interventions funded through World Vision Mongolia’s internal fundraising efforts, ensuring alignment with the organization’s child well-being objectives and community development priorities.

The Coordinator will lead the project planning, implementation, monitoring, and reporting of PNS-funded projects in collaboration with local government, civil society, and community stakeholders. In addition, the Coordinator will support resource mobilization efforts by identifying funding opportunities, contributing to funding acquisition strategies, and leading the development of high-quality project proposals and concept notes that align with organizational priorities and donor requirements. The role requires strong project management skills, proposal development expertise, the ability to adapt to various thematic areas (e.g., education, health, child protection, livelihoods, WASH), and a commitment to community empowerment and child-focused development.

The PNS Project Coordinator will ensure that all activities are implemented in compliance with World Vision’s standards, donor requirements, and national laws and policies. The Coordinator will also play a catalytic role in building local capacity, promoting community ownership, and ensuring that interventions are contextually relevant, sustainable, and responsive to the needs of children and their families. Furthermore, the Coordinator will collaborate with internal and external stakeholders to develop innovative project concepts, cultivate strategic partnerships, and secure funding that expands World Vision Mongolia’s impact and contributes to long-term community development outcomes.

PROJECT IMPLEMENTATION (50%)

  • Facilitate consultative planning, reflection, and feedback with project stakeholders.
  • Facilitate the project planned activities cooperating with key stakeholders and project beneficiaries
  • Spend project budgets efficiently in consultation with management team and key partners and donor approvals, ensure funds are spent in alignment with budgets on time.
  • Ensure program expenditures, to ensure that they are within the project budget and under World Vision’s financial policies and donor’s requirements
  • Ensure program accountability and sustainability drivers throughout program implementation
  • Prepare the project documentation and reporting to ensure all required reports are submitted on time, accurate, and complete. This is including the provision of information for the monthly report, quarterly report, monitoring checklist, along with updated indicator tracking table and project documentation.
  • Ensure timely completion of project visibility plan following a Support office requirements, prepare all necessary data and information in required formats.

PROJECT PLANNING, MONITORING AND REPORTING (20%)

  • Prepare monthly plan in accordance with design document and submit to the project leader, share approved document with field staff to help better planning of their field activity
  • Lead effective monitoring at project target areas and collates & supply monitoring data to DME manager, Operations Director, Strategy and Evidence Lead and World Vision technical programs staff
  • Lead project baseline, end-line and monitoring studies and provide technical support to project field staff ensuring monitoring process held properly.
  • Ensures monitoring information is used to improve project performance and made available for technical program reports
  • Contribute to Donor visibility plan is developed and implemented in line with donor requirements
  • Prepare the project documentation to ensure all required reports are submitted on time, accurate, and complete. This is including the provision of information for the monthly report, quarterly report, monitoring checklist, along with updated indicator tracking table and project documentation
  • Provide monthly, semi and annual reports based on activities undertaken and results
  • Support to develop the grant project proposal & design as required
  • Coordinate the implementation, and monitoring of the project at the project target areas with local government units and other stakeholders.
  • Identify and pursue funding opportunities aligned with organizational priorities.
  • Develop project proposals, concept notes, budgets, and supporting documents under PNS manager guideline and support
  • Coordinate proposal development with technical, finance, and operations teams.
  • Build and maintain relationships with donors, partners, and stakeholders.
  • Support resource mobilization and fundraising initiatives.

NETWORKING AND COORDINATION (10%)

  • Work closely and develop a professional relationship with partner agencies, including local Governor Offices and relevant agencies.

· Engage in community, as well as national level policy dialogues, deliver project impact and lessons learnt to respective authorities, donor agency, and the representative support office

· Build and maintain effective working relationships with community leaders, FBO’s and local NGO’s to enhance program effectiveness.

· Ensures program priorities and approaches are aligned with community, partners & donor’s requirement and standards

  • Coordinate donors & partners visits in the project fields

Regular information sharing with partners on project implementation and document best practices

Required Education, training, license, registration, and/or Certification

A Bachelor and higher-level education in any field of social science, business administration, public relations project data analysis, monitoring and evaluation

Three or more years of experience in project management.

Well experience on project planning, monitoring and reporting

Three of more than experience on community engagement, child protection, local partnering, and volunteer engagement

Preference for good written and oral communication skills in English

Proficiency in Microsoft Office programs

Good written and oral communication skills in English

Work in a team, able to visit to field (40%)
