The Project Coordinator is responsible for supporting the Project Manager and project teams with administrative duties throughout the project lifecycle. They will take a proactive role assisting the Project Manager and project teams in moving the project forward and enhancing communication with the project team and Client and promoting and facilitating integration on the project.\nYour Impact\nCoordinate with the project team during the proposal process to ensure all deadlines are met and reviews have been completed.\nSupport the project manager with internal communications and follow-up\nMaintaining project calendar including project deliverables, QC deadlines and publishing to project team.\nAssist in scheduling internal team meetings, project kick-offs, design reviews, etc\nAssist in reviewing project financial reports and communicate issues to project team\nCreate and maintain project Smart Sheets and document file storage\nAssist in tracking invoices and project payments.\nAssist project manager with reviewing deliverables during project deadlines. \nEnsure projects are meeting all internal compliance requirements\nAssist the project team in receiving, filing, distributing, processing, tracking due dates and responding to RFI’s, submittals and responses. \nProvide support for editing and formatting of specifications. \nAssist in preparation of any materials required for project pursuit.\nAssist in processing contracts and sub-consultant contracts.\nAttend project, department and team meetings and take meeting notes. Distribute meeting notes internal and externally as required.\nAssist in generating project financial management reports.\nAssist in tracking scope changes and updating project budgets accordingly.\nCreate and maintain project document file storage within the standard project directory structure.\nWho You Are\nRequired Qualifications\nHigh School Diploma or GED Required\n5+ years experience\nDeadline oriented, ability to track and maintain and meet multiple concurrent deadlines.\nExcellent verbal, written communication and program solving skills.\nMS Office applications, including Word, Excel, Outlook, Power Point and others. \nFamiliarity with Bluebeam is an advantage. \nFamiliarity with Smartsheet is an advantage.\nWorking knowledge of cloud-based file sharing platforms such as, SharePoint, ShareFile, Newforma, Dropbox, Box, etc. is an advantage.\nStrong computer and typing skills\nSelf-motivated and flexible to take on new tasks and assist teams.\nStrong willingness & eager to learn\nWSP Benefits:\nWSP provides a comprehensive suite of benefits focused on providing health and financial stability throughout the employee’s career.
