Working location: Ho Chi Minh

MAIN PURPOSE OF THE ROLE:

• Lead EPD Vietnam’s importation, customs and trade compliance operations under FIE business model, ensuring uninterrupted product supply and alignment with business demand.
• Establish and maintain compliant, efficient and sustainable import processes by managing customs regulations, trade compliance requirements, third-party logistics partners and customs brokers.
• Drive operational excellence, cost optimization and risk mitigation through effective logistics planning, performance management, audit readiness and continuous improvement initiatives

MAIN RESPONSIBILITIES:

1. Import & Customs Management

• Manage import plans with cross-functional teams and third-party partners, ensuring timely execution aligned with business demand.
• HS Classification, FTA & Licensing Management
• Verify HS classification and compliance with applicable regulations, including duty exemptions, reductions, FTAs and specialized management requirements.
• Review Free Trade Agreement (FTA) opportunities to optimize duty savings while maintaining compliance.
• Monitor and manage import licenses, LOA/POA/NOA, product registrations and import permits, as required.
• VAT & Import Duty/ Cost monitoring and management
• Manage VAT and import duty planning and processing in collaboration with the Finance team and customs brokers.
• Control customs brokerage fees, pass-through costs and other import-related surcharges.
• Coordinate and support payment processing between customs brokers and internal stakeholders.
• Customs Brokerage Tender and Contracting Process Management: Collaborate with the Procurement team to manage customs brokerage service tenders, negotiate contract terms and secure competitive quotations.
• Broker performance management: Monitor and manage customs broker performance against agreed service levels.

2. Operational Excellence & Cost Optimization

• Warehouse/Logistics Capacity Planning
• Manage inbound, outbound and storage capacity planning to optimize warehouse productivity and utilization.
• Support business continuity and supply resilience through effective logistics planning, risk management and contingency planning.
• Support annual budgeting and importation cost planning activities.
• Warehouse performance management and Continuous improvement
• Monitor and evaluate warehouse performance against established KPIs and service levels.
• Identify opportunities to optimize transportation, warehousing and importation costs while maintaining required service levels.
• Lead initiatives to improve logistics processes, reduce waste and enhance operational efficiency.

3. Customs, Trade and Regulatory Compliance

• Monitor regulatory changes related to customs, importation and international trade, and assess their business impact.
• Ensure all importation activities comply with applicable Vietnamese customs regulations, import requirements and corporate compliance standards.
• Monitor and maintain compliance with OEC Third-Party Process (3PP) requirements for customs brokers.
• Establish, maintain and continuously improve customs and trade compliance processes, SOPs and internal controls.

4. Audit, Risk & Governance

• Accountable for internal audits, external audits and global compliance reviews related to customs and trade activities.
• Maintain documentation and record retention in accordance with regulatory and quality management requirements.
• Identify compliance risks and implement appropriate mitigation actions.

MINIMUM BACKCROUND/EXPERIENCE REQUIRED

Experience

5-7 years of experience in Import/Export, Customs Compliance, Supply Chain, Logistics, or Trade Operations, preferably within multinational companies.

• Experience in similar job in pharmaceutical and healthcare industries.
• Solid knowledge of Vietnam customs regulations, international trade compliance and importation processes.
• Experience in managing stakeholders, customs brokers, import clearance activities, and customs audits and regulatory inspections.
• Experience in leading continuous improvement initiatives to optimize import operations, service quality, and cost efficiency.

Education

Bachelor

• Bachelor's degree in Supply Chain, Logistics, International Trade, Business Administration or related discipline
