The Scheduling Coordinator - Healthcare / Home Care plays a critical role at AbriCare, serving as the operational hub for caregiver scheduling and daily service coordination. This position is responsible for building and managing caregiver schedules, maintaining client coverage, responding quickly to call-outs and last-minute changes, and proactively resolving staffing gaps to ensure continuity of care.
We are specifically seeking a highly experienced workforce scheduler who is comfortable managing a fast-moving, high-volume schedule with multiple competing priorities. Strong scheduling experience is the primary focus of this role. While home care or healthcare experience is preferred, we are also interested in candidates with substantial staff scheduling experience in other complex, high-volume environments.
In addition to scheduling, this position supports day-to-day branch operations and works closely with the Branch Director, caregivers, clients, and clinical team. The Scheduling Coordinator is also expected to step in as a hands-on caregiver when coverage gaps arise, making flexibility and a willingness to work across functions essential to success.
The Scheduling Coordinator serves as the operational backbone of daily service delivery, ensuring smooth coordination between clients and caregivers while upholding AbriCare’s standards of reliability, professionalism, and compassion.
What You’ll Do
Scheduling & Service Coordination
- Build, maintain, and adjust client and caregiver schedules using the organization’s electronic medical record (EMR) system.
- Manage high-volume scheduling activity, including open shifts, call-outs, availability changes, last-minute requests, and urgent coverage needs.
- Proactively identify and resolve coverage gaps before they impact client service.
- Match caregivers to clients based on availability, location, skills, compatibility, preferences, and care requirements.
- Communicate schedules, assignments, and changes promptly to caregivers, clients, and branch leadership.
- Coordinate caregiver coverage across multiple clients, shifts, and competing priorities.
- Partner with the Branch Director and Clinical team to ensure staffing aligns with client needs and care plans.
- Maintain accurate scheduling and caregiver information within the EMR.
Caregiver Support - As Needed
While scheduling is the primary focus of this position, the Scheduling Coordinator must be willing to provide direct Personal Care Services when coverage is unavailable. This may include assisting clients with activities of daily living (ADLs), companionship, meal preparation, light housekeeping, mobility assistance, and other services outlined in the client’s care plan.
Required Qualifications
- High school diploma or GED required.
- Minimum of 2 years of staff/workforce scheduling experience involving shift coverage and employee assignments.
- Demonstrated experience managing high-volume schedules, call-outs, open shifts, and last-minute staffing changes.
- Strong organizational, problem-solving, communication, and follow-through skills.
- Experience using scheduling, workforce management, EMR, or similar technology.
- Willingness and ability to provide direct caregiver support when coverage needs arise.
Please note: We are seeking candidates with workforce scheduling experience-not primarily patient or appointment scheduling.
Preferred Qualifications
- Home care, home health, healthcare staffing, senior living, behavioral health, or other high-volume workforce scheduling experience.
- Experience coordinating a field-based workforce.
- Familiarity with WellSky or a similar scheduling/EMR platform.
- Knowledge of Medicaid, Missouri HCBS programs, MO DHSS systems, or Electronic Visit Verification (EVV).

Additional Details
- Standard work hours: Monday-Friday, 8:00 AM-5:00 PM CST
- Occasional after-hours coordination may be required for urgent scheduling needs.
